Job Description
We re seeking a highly organized and proactive Executive Assistant to support our Clevel executives in a fastpaced missiondriven environment. This role offers a unique opportunity to be at the heart of our operations working directly with the CEO and COO to drive efficiency and productivity across the organization. You ll be instrumental in managing complex schedules coordinating highlevel meetings and overseeing critical projects. This position is perfect for a detailoriented professional who thrives in a dynamic setting and is passionate about making a meaningful impact in healthcare services.
Responsibilities
- Manage and optimize complex executive calendars ensuring efficient time management and prioritization of commitments
- Coordinate and organize highlevel meetings including preparation of agendas materials and comprehensive minutes
- Spearhead project management initiatives liaising between departments to ensure timely delivery and successful outcomes
- Craft and edit professional presentations reports and other executive communications
- Handle sensitive financial tasks such as invoicing and assist with client communications maintaining the highest level of discretion
- Act as a key liaison between executives and staff facilitating smooth communication and workflow
- Exercise judgment in making daytoday decisions and responding to emails on behalf of executives
- Proactively identify and implement process improvements to enhance overall organizational efficiency
- Travel arrangement and expense report management for executives
Requirements
- Exceptional written and verbal communication skills in English
- Proven track record in project management with the ability to juggle multiple highpriority tasks
- Demonstrated experience supporting Clevel executives in a fastpaced environment
- High level of proactivity maturity and discretion when handling confidential information
- Strong decisionmaking skills with the ability to work independently and take initiative
- Advanced proficiency in Microsoft Office suite and adaptability to learn new software quickly
- Bachelor s degree in Business Administration Communications or related field preferred
- Minimum of 35 years of experience in an executive assistant role or similar position
- Excellent organizational skills with a keen eye for detail
- Ability to work in UK time zone (GMT) and maintain a consistent fulltime schedule
- Flexibility to occasionally attend evening meetings or handle urgent matters outside regular hours
- Strong problemsolving skills and the ability to anticipate needs before they arise
