Reporting to the Director of Sales & Marketing responsibilities and essential job functions include but are not limited to the following:
Responsibilities
- Organize and implement administrative systems & procedures and perform necessary support duties
- Assisting Director of Group Sales will monthend reporting
- Accruals for Sales department
- Assisting the Director of Group Sales with airline crew contracting and program management
- Invoice reconciliation for Sales department
- Monthly expense reports for Sales Managers
- Customer proposals and contracts
- Site Alerts for customer visits
- Data entry into sales system platform Opera.
- Working in a team environment
- Coordinate and oversee Opera Sales and Catering system to all include definite tentative and prospective group and catering booking activity.
- Generate group sales contracts proposals and deposit/payment invoicing
- Consistently offer professional friendly and engaging service
- Ensure prompt and courteous service is extended to both internal and external customers
- Escort general inquiries during site inspections
- Prioritize all telephone calls and inperson visitors scheduling appointments as required
- Maintain a positive relationship with all guests vendors Colleagues and global sales network
- Ensure all sales promotional literature is current and updated Update convention bureau lists
- Prepare and disseminate monthend reports
- Provide all administration duties for the Sales office
- Assist with the maintenance of accounts contact activity and business details within appropriate software applications
- Follow departmental policies and procedures
- Follow all safety policies
- Other duties as assigned

Qualifications :

- Previous sales or administrative experience preferred
- Advanced skills in Microsoft Window applications and/or relevant computer applications required Knowledge of Opera PMS an asset
- University/College degree in a related discipline an asset
- Excellent communication skills both written and verbal required
- Strong interpersonal and problem solving abilities
- Highly responsible & reliable
- Ability to focus attention on guest needs remaining calm and courteous at all time
