The NYC Department of Environmental Protection (DEP) enriches the environment and protects public health for all New Yorkers by providing 1.1 billion gallons of highquality drinking water managing wastewater and stormwater and reducing air noise and hazardous materials pollution. DEP is the largest combined municipal water and wastewater utility in the country with nearly 6000 employees. DEPs water supply system is comprised of 19 reservoirs and 3 controlled lakes throughout the systems 2000 square mile watershed that extends 125 miles north and west of the City.
The Bureau of Public Affairs (BPAC) manages the public information community outreach and legislative affairs of the Agency. It is responsible for all media inquiries environmental education special projects and events production of all public information both print and electronic and has responsibility for managing agencywide graphic and photographic needs.
BPAC is seeking an Executive Assistant to provide specialized administrative support to the BPAC Team. Reporting to the Deputy Commissioner the Executive Assistant performs a variety of complex and confidential administrative support duties for several members of the BPAC Senior Leadership Team. The Executive Assistant will work on assignments that are sensitive in nature and has highlevel contacts inside and outside the agency and will develop implement and support sound internal office practices and procedures.
Tasks will include but not be limited to:
Performs various administrative and executive support tasks while managing sensitive matters with a high level of confidentiality and discretion.
Responsible for strategic calendar management including scheduling meetings coordinating recurring checkins updating attendees and communicating across multiple organizations to schedule events for BPAC staff.
Complete mileage reports expense reimbursements travel arrangements and related documents for individuals and groups.
Act as the project coordinator for team meetings including allstaff meetings community board meetings Mayors Office events etc.
Produce and edit internal and external correspondence and materials as needed.
Support Deputy Commissioner before and after key meetings with reminders about content and draft followup communications.
Build meaningful and trusting relationships with agency staff community stakeholders public officials etc. to facilitate positive outcomes and contribute to a highperforming collaborative culture.
Qualifications :
1. A baccalaureate degree from an accredited college and three years of satisfactory fulltime progressively responsible clerical/administrative experience one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory fulltime progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in 1 above; or
3. A fouryear high school diploma or its educational equivalent approved by a States department of education or a recognized accrediting organization and five years of satisfactory fulltime progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in 1 above;
4. Education and/or experience equivalent to 1 2 or 3 above. However all candidates must possess the one year of administrative or supervisory experience as described in 1 above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in 1 above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3 years.
