We are seeking a highly organized and customer-focused Front Desk Executive to join our team. As the Front Desk Executive, you will be responsible for creating a warm and welcoming atmosphere for all visitors and guests. Responsibilities
Greet and welcome all guests and visitors with a friendly and professional demeanor.
Answer incoming telephone calls and direct them appropriately.
Maintain a clean and organized front desk area, ensuring that it is well-stocked with necessary supplies.
Schedule appointments and manage calendars for executives and staff members.
Respond to emails and inquiries in a timely manner.
Handle and resolve customer complaints or issues with a calm and understanding approach.
Assist with administrative tasks such as filing, scanning, and data entry.
Customer Reception and Greeting:
Greet visitors and guests upon arrival in a professional and friendly manner.
Ensure guests feel welcome and provide them with initial information about the company or facilities.
Handling Phone Calls and Emails:
Answer and direct incoming phone calls, ensuring all calls are routed to the appropriate department or person.
Respond to inquiries via email and provide information or assistance as needed.
Scheduling and Appointments:
Manage and schedule appointments, meetings, or conference room bookings for staff or clients.
Maintain an up-to-date calendar and inform all parties involved of any schedule changes.
Visitor Management:
Register visitors, ensure they are signed in, and provide them with visitor badges if required.
Notify relevant staff of guest arrivals and direct visitors to the appropriate departments.
Administrative Support:
Perform general administrative tasks such as filing, typing, data entry, and maintaining office records.
Assist with office correspondence, including handling deliveries and outgoing mail.
Proven experience in a customer service role, preferably in a front desk or receptionist capacity.
Excellent communication and interpersonal skills, with the ability to convey information clearly and effectively.
Strong organizational and multitasking abilities to handle various responsibilities simultaneously.
Proficient in using Microsoft Office Suite and other administrative software.
Ability to remain calm and composed under pressure, maintaining excellent customer service in all situations.
Attention to detail and accuracy when handling documentation and sensitive information.
Professional appearance and demeanor, with a friendly and approachable personality.
Excellent communication skills (both verbal and written).
Strong multitasking abilities with the ability to prioritize tasks efficiently.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment.
