Coordinate with QM legal department for loan agreements and contracts.
Provide administrative support across all areas and manage the financial tracking and administrative systems underpinning the work of the Registrar.
Be an expert user of the museum system collection management database (KE EMu), responsible for a substantial amount of data entry, data queries and running reports.
Cataloging and Documentation:
Maintain detailed records of all objects or artworks in the exhibition, including their condition, provenance, and exhibition history.
Ensure that each object is cataloged accurately and efficiently, using a collection management system (CMS) to track the object’s location, condition, and details.
Object Handling and Condition Reporting:
Ensure that all artworks or objects are carefully handled, transported, and stored according to best practices.
Create and maintain condition reports for each object before and after exhibitions, documenting any changes in condition during the handling process.
Inventory Management:
Oversee the inventory of artworks or objects, tracking their movement and ensuring that all items are accounted for throughout the exhibition cycle.
2. Exhibition Planning and Logistics:
Exhibition Setup and Installation:
Coordinate the logistics of the exhibition setup, including the transportation, unpacking, and installation of objects or artworks in collaboration with curators and exhibition designers.
Ensure that the layout, placement, and security of each object or artwork are optimized to meet both aesthetic and security requirements.
Loan Coordination:
Manage the process of borrowing or lending objects for exhibitions, including negotiating loan agreements, shipping arrangements, and insurance.
Ensure that all documentation related to loans, including condition reports and shipping forms, are completed accurately and submitted on time.
Shipping and Transportation:
Oversee the shipping and transportation of objects or artworks to and from the exhibition site, ensuring that all shipping logistics are well coordinated and meet industry standards for safe handling.
Collaborate with logistics companies and art transport specialists to ensure the security and condition of artworks during transit.
Master of Arts Degree in Art History, Museum Studies, Studio Art Library Science or relevant field.
No less than 6 years of experience
Strong Organizational Skills:
Ability to manage multiple tasks simultaneously, from coordinating exhibitions to organizing transportation and handling logistics.
Expertise in developing and maintaining efficient systems for object tracking, storage, and documentation.
Legal and Ethical Knowledge:
Understanding of legal requirements for managing cultural property, including issues of ownership, repatriation, and compliance with international laws.
Knowledge of insurance policies, contracts, and ethical standards in art handling and exhibitions.
Communication and Interpersonal Skills:
Strong written and verbal communication skills to work with stakeholders, including curators, lenders, exhibition designers, and museum directors.
Ability to negotiate and manage relationships with external partners and institutions.
Problem-Solving and Critical Thinking:
Ability to identify and resolve issues related to the exhibition, such as security concerns, logistical challenges, or discrepancies in object records.
Technical Skills:
Familiarity with museum collection management software (CMS) and other tools used for tracking and managing artwork and object information.
Experience with condition reporting, photography, and exhibition documentation.
Project Management:
Ability to oversee and coordinate various aspects of the exhibition process, from planning to deinstallation, ensuring that all timelines and budgets are met.
