As the Project Administrator / Personal Business Assistant to the CEO you will play a critical role in managing daytoday operations and providing comprehensive administrative support to ensure the CEOs efficiency and effectiveness. This position requires a dynamic individual with exceptional organizational skills proactive problemsolving capabilities and the ability to maintain confidentiality while juggling multiple responsibilities.

Responsibilities

  • Scheduling & Organization: Arrange meetings book venues manage calendars and handle meeting preparation.
  • Financial Tracking: Monitor budgets and expenditures on behalf of the CEO.
  • Communication Management: Answer phone calls and emails take messages and draft professional correspondence such as emails and letters.
  • Meeting Support: Take detailed and comprehensive notes during meetings and ensure followup actions are executed.
  • Event Coordination: Organize events speaking engagements and other CEO commitments.
  • Document Management: Organize and maintain critical documents reports and files for easy and quick access.
  • Confidentiality: Handle sensitive information with discretion and integrity.
  • Liaison: Act as the primary point of contact between the CEO and internal/external stakeholders to ensure seamless communication.
  • Team Collaboration: Work closely with executives and department heads to ensure smooth workflow and communication.

Personal Assistant Duties

  • Time Management: Assist with the CEOs daily schedule and prioritize tasks efficiently.
  • Travel Arrangements: Plan and coordinate travel logistics including flights accommodation and ground transportation.
  • Errand Execution: Complete personal errands as requested by the CEO.
  • Visitor Coordination: Manage visitor arrangements including scheduling and reservations for hotels and restaurants based on requests.
  • Family Assistance: Handle arrangements for the CEOs family such as accommodation transportation and visas.
  • Household Coordination: Liaise with household staff including maids and drivers to fulfill family and personal requirements.
  • Teamwork: Collaborate and support the Business Personal Assistant on joint tasks and responsibilities.

Job Requirements

  • Male or Female aged 30 years or below.
  • Minimum educational background of D3 or S1 in any discipline.
  • Proficiency in Chinese is required; fluency in English is a strong advantage.
  • Experience working in a Chinese company is preferred.
  • Excellent interpersonal and communication skills.
  • Techsavvy with proficiency in word processing and email management tools.
  • Active listening skills and a proactive approach to problemsolving.
  • Ability to multitask effectively while maintaining attention to detail.
  • Strong time management and organizational abilities.
