Administration Manager

Role Overview: We are seeking an organised and proactive Administration Manager to support the CEO and seniorlevel managers. This role involves a variety of administrative tasks essential for the smooth operation of the organisation. The ideal candidate will thrive in a fastpaced environment demonstrating excellent time management and the ability to work independently.
Key Responsibilities:
- Manage MYOB software and accounts.
- Oversee various software platforms including SharePoint Teams and DocuSign.
- Facilitate HR functions such as inductions and onboarding as directed by the CFO.
- Provide legal assistance as directed by the CEO.
- Write and manage processes and procedures.
- Enhance efficiencies in the document control system.
- Perform secretarial duties as required by the Company Secretary.
- Act as the point of contact among executives employees clients and external partners.
- Manage board processes meetings governance and secretarial duties including minutetaking and agenda structuring.
- Update actions from meetings and maintain governance registers.
- Ensure timely and accurate information flow.
- Organise executives calendars and set up meetings.
- Arrange travel and accommodation.
- Maintain office supply inventory.
- Coordinate staff and board events.
- Format internal and external communications including memos emails presentations and reports.
- Screen phone calls and distribute correspondence.
- Assist board members and related organisations as directed.
- Support the team with PowerPoint presentations and document formatting.
Requirements
- Proven experience as an Administration Manager Executive Assistant Personal Assistant or in a similar role.
- Strong knowledge of MS Office 365 applications including SharePoint and Teams.
- Exceptional organisational and time management skills.
- Excellent verbal and written communication abilities.
- Experience with MYOB software and accounts.
