Job Description:

We are seeking a warm and professional Receptionist to join our team. As the first point of contact for our organization you will play a crucial role in creating a welcoming and organized environment. If you are someone who thrives in a dynamic work environment and has excellent interpersonal skills we d love to hear from you!

Key Responsibilities:

Greeting and Welcoming Visitors:
  • Act as the face of the company by welcoming guests with a friendly and professional demeanor.
  • Ensure visitors feel comfortable and address their inquiries promptly.
Handling Incoming Calls and Messages:
  • Answer phone calls efficiently and redirect them to the appropriate department.
  • Manage voicemail messages and follow up on missed calls as needed.
Front Desk Operations Management:
  • Schedule and coordinate appointments meetings and meeting room bookings.
  • Maintain an organized and presentable front desk area.
Mail Handling:
  • Sort distribute and organize incoming and outgoing mail and packages.
Administrative Support:
  • Provide general administrative support to various departments.
  • Assist with documentation data entry and filing as required.
Visitor Access Management and Security:
  • Monitor and log visitor details to ensure safety protocols are followed.
  • Issue visitor badges and provide guidance on security policies.
Delivering Excellent Customer Service:
  • Address visitor and client concerns with professionalism and promptness.
  • Handle queries and provide accurate information about the organization.

Qualifications:

  • Communication Skills: Exceptional verbal and written communication skills in English.
  • Multitasking Ability: Proven ability to manage multiple tasks and prioritize effectively.
  • Professionalism: Maintain a composed and courteous attitude in highpressure situations.
  • Preferred Experience: Prior experience in similar roles is an advantage but not mandatory.
  • Technical Skills: Basic knowledge of office software (e.g. Microsoft Office Suite) is a plus.
