Job Description

Overview

The Operations Executive (Travel Coordinator) plays a pivotal role in ensuring efficient travel logistics for employees and organizational stakeholders. This position is crucial for facilitating smooth travel experiences which directly impacts productivity and employee satisfaction. The Travel Coordinator will be responsible for managing travel arrangements including booking flights hotels and transportation while adhering to budgetary constraints. They will also act as a liaison between employees and travel service providers ensuring that all travel needs are met promptly and efficiently. This role requires a wellorganized individual with exceptional attention to detail and strong communication skills capable of handling complex itineraries and lastminute changes. The Operations Executive will contribute significantly to the operational success of the organization by ensuring that all travel logistics are handled with professionalism and efficiency ultimately allowing the organization to focus on its core mission.

Key Responsibilities

  • Coordinate all aspects of travel arrangements including flights accommodation and transportation.
  • Manage travel budgets and ensure compliance with organizational policies.
  • Provide timely and accurate travel information to employees and stakeholders.
  • Negotiate with travel vendors for costeffective solutions.
  • Create and maintain travel itineraries for employees.
  • Assist employees with visa and travel documentation requirements.
  • Monitor and evaluate travel services for quality and efficiency.
  • Respond to travelrelated inquiries promptly and professionally.
  • Implement and maintain travel policies and procedures.
  • Conduct assessments of travel risks and ensure employee safety during travel.
  • Utilize travel management software for organizing and tracking bookings.
  • Handle any travel disruptions or emergencies with quick problemsolving skills.
  • Train and educate employees on travel booking processes and policies.
  • Collect and analyze travel data for continuous process improvement.
  • Collaborate with HR and Finance departments for employee travel needs.
  • Stay updated on travel industry trends and best practices to enhance service delivery.

Required Qualifications

  • Bachelors degree in Business Administration Travel Management or a related field.
  • Minimum of 2 years of experience in travel coordination or a similar role.
  • Proficient in travel booking software and tools.
  • Strong knowledge of travel regulations and processes.
  • Exceptional communication and interpersonal skills.
  • Ability to work under pressure and manage time effectively.
  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint).
  • Strong analytical and problemsolving skills.
  • Experience in negotiating with vendors and suppliers.
  • Excellent organizational skills with a keen attention to detail.
  • Familiarity with budgeting and financial management.
  • Ability to adapt to changing priorities and tasks.
  • Strong customer service orientation.
  • Experience with expense management systems.
  • Knowledge of international travel requirements and protocols.
  • Fluency in a second language is a plus.
