Responsibilities
Executive Support:
- Manage the VPIndia Center Head s calendar including scheduling meetings appointments and travel arrangements.
- Act as the primary point of contact between the VPIndia Center Head andinternal/external stakeholders.
- Prepare and edit correspondence presentations reports and other documentsasrequired.
Meeting Management:
- Coordinate and prepare agendas materials and minutes for meetings ensuringtheVPIndia Center Head is wellprepared.
- Attend key meetings take notes and follow up on action items.
Communication:
- Screen and manage incoming communications including emails calls and messages and respond on behalf of the VPIndia Center Head when appropriate.
- Draft and proofread communications ensuring clarity tone and accuracy.
Project Coordination:
- Assist in the coordination and execution of special projects research assignments and reports as assigned by the VPIndia Center Head.
- Track progress on strategic initiatives and provide status updates.
Travel Management:
- Organize domestic and international travel including flights accommodations visas and itineraries ensuring seamless and costeffective arrangements.
Administrative Support:
- Handle expense reports purchase orders and other administrative tasks.
- Maintain and organize files documents and records both physical and digital.
Confidentiality and Discretion:
- Manage sensitive information with the utmost discretion and professionalism.
- Act as a trusted partner to the VPIndia Center Head maintaining confidentialityonall business and personal matters
Qualifications
- Bachelor s degree in Business Administration or related field preferred.
- 47 years of experience as an Executive Assistant preferably supporting Clevel executives. Exceptional organizational skills with strong attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) andother relevant software.
- Strong problemsolving skills and the ability to work independently with minimal supervision. Ability to handle multiple tasks prioritize effectively and meet deadlines.
- High level of integrity professionalism and discretion in handling confidential information. Flexibility to adapt to changing priorities and work in a fastpaced environment
