Event Related:
Act as principal interface between the client and other internal departments and its nominated contractors at operations when Event Planner is out of duty.
Establish effective relationships with clients instilling the confidence necessary for repeat business.
Encourage a high level of customer service awareness from all customer/public facing staff.
Take ownership of activities taking place at the venue at operations answering queries monitoring the performance of service providers and effectively dealing with complaints and emergency situations.
Infrastructure Related:
Act as primary contact in case of emergencies throughout the complex and start the escalation process as required and follow the escalation matrix.
Follow the Policies and Procedures including Health & Safety aspects.
Implement as and when required the risk control strategy as set by the company.
Promote and demonstrate a sense of cost management throughout the operations activity cycle.
Actively participate in cost saving initiatives (A/C lighting etc.)
Assist in producing Management Information and demonstrate comprehensive understanding and reporting practices of key indicators of the operations activities.
Evaluate threats and opportunities faced for each operations activity cycle and report to Manager Operations
Demonstrate the ability to confidently communicate and gain the confidence of a full range of stakeholders.
Demonstrate effective time management and a sense of urgency.
Demonstrate the ability to understand consequences and implications of activities and occurrences and the impact on relevant parties and the action required.
Demonstrate lateral thinking and the ability to assess the collective impact on other events and activities happening simultaneously in and around the Venue and the implications for the Venue s ability to service all its customers to the same level.
Carry out entry and exit inspections with clients / contractors when scheduled at operations.
Ensure readiness of the Venue for following day s events and ensure buildup and teardown activities are on schedule.
Follow up on stand completion status and ensure that the halls are ready for the master cleaning.
Supervise timely delivery of unplanned work / last minute work.
Receive handover of all tasks to be undertaken over operations and report back the next day.
Monitor the event requirements through the Event Plan for all simultaneous events.
Identify and report on situations arising from multiple tenancies.
Drive a Customer Centre culture across the delivery departments to ensure consistency of services delivered.
Reports to Manager Operations on operational issues visitor issues organizers and exhibitors. Highlight priorities urgency and actions required.
Implement duties in line with the Quality Standards Security and Health & Safety requirements.
Other duties as needed or required and deals with confidential information and/or issues using discretion and judgment.
