Event Coordinator

Overview

The Event Coordinator plays a crucial role in planning executing and managing a variety of events for the organization. This position involves collaborating with clients vendors and internal teams to ensure successful event delivery. An Event Coordinator is responsible for maintaining the organization s reputation and brand image by organizing highquality events that meet client expectations. The role requires exceptional organizational skills creativity and attention to detail as well as the ability to manage multiple projects simultaneously. By effectively communicating and negotiating with vendors ensuring budget adherence and coordinating logistics the Event Coordinator helps create memorable experiences that align with the organizations goals and values. Success in this position contributes significantly to enhancing the organization s community engagement increasing visibility and fostering client relationships.

Key Responsibilities

  • Plan coordinate and execute a variety of events including corporate meetings weddings conferences and social gatherings.
  • Develop and manage event budgets ensuring all costs remain within allocated limits.
  • Communicate effectively with clients to understand their event requirements and objectives.
  • Research and select suitable venues vendors and suppliers for events.
  • Oversee event logistics including catering transportation and audiovisual needs.
  • Create event timelines and schedules ensuring all tasks are completed on time.
  • Coordinate and manage event staff including volunteers security and subcontractors.
  • Handle marketing and promotional efforts for events including social media and email campaigns.
  • Evaluate event success and gather feedback for continuous improvement.
  • Negotiate contracts with vendors to secure favorable terms and pricing.
  • Ensure compliance with health and safety regulations at events.
  • Maintain a detailed knowledge of industry trends and best practices.
  • Prepare postevent reports summarizing logistics feedback and financial performance.
  • Develop and implement creative themes and concepts for events.
  • Build and maintain relationships with clients sponsors and vendors.

Required Qualifications

  • Bachelors degree in Hospitality Management Event Planning Marketing or related field.
  • Minimum of 2 years of experience in event planning or coordination.
  • Proven experience in budget management and event logistics.
  • Strong communication and interpersonal skills.
  • Exceptional organizational skills and attention to detail.
  • Ability to work under pressure and manage multiple projects simultaneously.
  • Proficiency in Microsoft Office Suite and event management software.
  • Familiarity with marketing and promotional strategies.
  • Strong negotiation skills with a demonstrated ability to secure competitive rates.
  • A creative mindset with an eye for design and aesthetics.
  • Valid drivers license and ability to travel as needed for events.
  • Understanding of customer service principles and practices.
  • Ability to work flexible hours including evenings and weekends.
  • Demonstrated ability to work collaboratively in teams.
  • Knowledge of current trends in event planning and management.
