About role
This role plays a crucial role in overseeing the administrative operations of the organization. The incumbent should have 10 years of work experience in handling administration function complete office management insurance management events support & planning travel desk management vehicle arrangements assets company property and vehicle management and facility management.
Job description in brief
- Lead Admin function develop and implement administrative policies process improvements SOPs relevant forms and formats.
- Complete corporate office & other office premise management.
- Responsible for insurance management of all the assets equipment vehicles office premises etc
- Manage promoter events; from overall planning to the executing the events effectively.
- Plan execute and oversee corporate events and meetings and ensure all the resources required for implementation of such events is efficiently managed.
- Responsible for managing the travel desk function efficiently and ensuring all the requirements are met within the timelines.
- Effectively manage travel desk cost and oversee the billings and payments.
- Management of properties of owners/promoters maintenance of their cars assets insurance of car office home of the said owners/promoters
- Responsible for managing the office & promoter vehicles; service repairs sell & purchase vehicle lease management rental management etc.
- Manage vendor relationships and negotiating contracts for all aspects of the company and ensure optimal services and pricing.
- Coordinate with departments to ensure office supplies and equipment are adequately stocked and functional.
- Supervise administrative staff and assigning the responsibilities to ensure efficient and effective performance of the department.
- Oversee facility management & maintenance to ensure a safe and efficient working environment.
- Oversee the procurement and maintenance of office supplies and equipment
- Manage travel arrangements and accommodations for promoters employees and corporate guests.
- Ensure that the compliance of company premises and regulatory standards for health and safety are maintained and improved as & when required.
- Prepare office budget and manage the expenses to optimize the administrative resources.
- Collaborate with senior management to align administration department to the upcoming needs and prepare the plan accordingly.
- Addressing administrative issues and proactively identifying opportunities for improvement
- Implementing technology solutions to enhance administrative efficiency and effectiveness
- Prepare regular reports dashboards and presentations on administrative activities and performance.
- Provide support to all departments for special projects and initiatives as & when required.
- Ensure adherence to legal and regulatory requirements related to administrative activities contractual staffing assets etc
Required qualifications
- Any Bachelors degree (e.g. in Commerce Science etc) and PostGraduate/MBA in Business Administration Management or relevant field is preferred.
- Strong understanding of office management insurance management events planning & execution assets & vehicle management travel desk management facility management
- Should have experience in managing communicating & coordinating with promoters founders CMDs CEOs top management profiles.
- Excellent communication and interpersonal skills
- Should be proactive and gogetter
- Proven experience in an administrative management role within a corporate environment.
- Proficiency in budget management and financial knowhow
- Knowledge of relevant regulations and compliance standards
- Strategic thinking and problemsolving abilities
