Job Responsibilities: Head Operations
1. Arrival & Departure Formalities:
o Manage and ensure timely completion of arrival and departure formalities for vessels.
o Coordinate crew change procedures and other husbandry (ship maintenance repairs cleaning hull and rigging upkeep and equipment maintenance) formalities at the port.
2. Documentation and Reporting:
o Handle all vessel import and export documentation ensuring accuracy and compliance.
o Issue Bill of Lading Mates Receipt Cargo Manifest and other essential documents for export vessels.
3. Customs and Authority Coordination:
o Submit Bill of Entry (BOE) and Import General Manifest (IGM) to customs.
o Liaise with customs port authorities PHO (Port Health Organization) MRCC (Maritime Rescue Coordination Centre) VTMS (Vessel Traffic Management Systems) and other relevant authorities to ensure smooth vessel operations.
4. Stakeholder Communication and Coordination:
o Inform all relevant stakeholders (owners agents and terminal operators) regarding the vessels status at the port.
o Communicate effectively with terminals owners masters and other stakeholders for seamless vessel turnaround ports.
5. Costing and Client Coordination:
o Quote costs to clients for required services and manage billing procedures.
o Prepare invoices and follow up with clients to ensure timely payments for services rendered.
6. Port Operations Supervision:
o Oversee the loading and discharge of vessels at the port ensuring efficient port operations.
o Coordinate husbanding activities and ensure the vessels operations are managed accord to client specifications.
7. Reporting and Documentation Management:
o Prepare and submit TDR (Turnaround Reports) to owners and head office after the vessel departs the port.
o Provide timely operational updates and reports to principals regarding vessel activities.
8. Communication and Followup:
o Respond promptly to emails from principals and other concerned parties to avoid any communication gaps.
o Ensure timely followup and provide status updates to all parties involved in vessel operations.
