We re seeking an organized energetic and customerfocused Front Office Specialist to join our dynamic team. In this role you will be the welcoming face of our practice ensuring seamless experiences for patients in a fastpaced supportive environment.
What You ll Do
Patient Reception & Scheduling:
- Greet patients warmly and professionally as they arrive.
- Answer phone calls text messages and emails promptly and courteously.
- Schedule appointments efficiently ensuring accuracy and timely followups.
Insurance Verification & Data Management:
- Verify insurance eligibility and update patient charts using RevolutionEHR.
- Collect patient demographic information and maintain accurate records.
- Link family accounts update insurance details and handle preauthorizations.
Communication & Coordination:
- Use Weave for patient communication (calls texts faxes).
- Coordinate patient flow by updating BlueNote and collaborating with technicians.
- Manage referrals including requesting HMO authorizations and faxing to external providers (e.g. CEI Midwest).
Billing & Payments:
- Collect and process patient payments accurately.
- Upload and organize insurance eligibility documents into patient charts.
Record Management:
- Upload faxed or mailed documents into RevolutionEHR for accurate billing and recordkeeping.
- Ensure timely followup by tasking doctors for chart reviews when needed.

Requirements
Previous experience in medical reception optometry or a related healthcare setting preferred.
Proficiency with patient management software (e.g. RevolutionEHR) and communication tools (e.g. Weave) is a plus.
Strong multitasking skills and the ability to work calmly in a fastpaced environment.
Excellent verbal and written communication skills.
A customerfirst attitude with exceptional attention to detail
