Main Purpose of Job
The main function of the scheduling coordinator is to ensure smooth delivery of the clients programs by ensuring adequate staffing at all times. This is achieved by early rostering of coaches before the start of the term and managing the daytoday replacement of coaches due to illness or availability. In addition the coordinator role will assume other HR and customer service responsibilities.

- Freedom to prioritise own daily tasks depending on importance
- Speak to line manager when spending needs to be authorised and when there are financial implications related to a decision
- Elevate complex issues to line manager

Training Skills Knowledge & Experience Required
- Experience with scheduling in an environment with a high volume of casual staff
- Experience in customer service
- Must be able to work under pressure multitask

Main Activities & Key Tasks:
- Scheduling a roster for 100 casuals for the term
- Day to day emergency replacements
- Log lateness and minor infractions
- Assign training modules for coaches
- Inform schools in instance of lateness
- Escalate disciplinary matters to the CPM
- Answering coach queries
Customer service support
- Answering school and parent queries
- Triage incoming calls to the customer service number
- Redirect calls to appropriate personnel
- Data entry
KPIs
- Day to day replacements handled without CPM
- Number of unanswered customer service calls
- Number nonpriority calls redirected appropriately
