Key Responsibilities:
1. Administrative Support:
o Assist the Executive Secretary in handling daily administrative tasks.
o Prepare format and distribute documents correspondence and reports as required.
o Maintain filing systems (both electronic and physical) and ensure easy retrieval of documents.
2. Calendar Management:
o Schedule meetings appointments and conferences as directed by the Executive Secretary.
o Ensure timely reminders and updates to avoid scheduling conflicts.
o Assist in preparing agendas and materials for meetings.
3. Communication Handling:
o Handling direct phone calls emails and other communications to the appropriate parties.
o Draft and respond to routine correspondence on behalf of the Executive Secretary.
o Act as a liaison between the Executive Secretary and internal/external staff.
4. Travel Coordination:
o Assist in arranging travel plans including booking flights accommodations and transportation.
o Prepare travel itineraries and provide relevant documentation to the Executive Secretary.
5. Event and Meeting Assistance:
o Support the organization of events meetings and conferences.
o Take meeting minutes and follow up on action items as needed.
o Ensure all logistical arrangements such as venue bookings and technical setup are in place.
6. Record Keeping and Reporting:
o Maintain records of correspondence reports and important documents.
o Track and report expenses ensuring adherence to budgets and policies.
7. General Office Support:
o Monitor office supplies and place orders when necessary.
o Ensure a tidy and organized workspace for the Executive Secretary.
8. Confidentiality and Discretion:
o Handle sensitive and confidential information with utmost professionalism.
o Uphold the organization's standards for confidentiality and ethics.
