We are currently hiring for a highly qualified Operations Support Executive.
DUTIES AND RESPONSIBILITIES:
Inventory Management & Stock Control:
- Assist in tracking and managing inventory levels of raw materials (diamonds precious metals and gemstones) and finished jewellery products.
- Coordinate regular stock takes and reconciliation of inventory ensuring accuracy between physical stock and system records.
- Collaborate with the procurement team to ensure timely replenishment of materials and supplies.
- Monitor inventory movement highlighting discrepancies or potential stock shortages.
Order Processing & Coordination: - Support the processing of customer orders ensuring the smooth flow from order receipt to fulfillment.
- Coordinate with the production and retail teams to ensure customer orders are manufactured and delivered on time.
- Track and update the status of orders including custom jewellery pieces ensuring high levels of customer satisfaction.
- Prepare and manage the necessary paperwork for order dispatch and ensure it aligns with customer and regulatory requirements.
Vendor & Supplier Coordination: - Communicate with suppliers and vendors to ensure the timely and accurate delivery of raw materials and finished goods.
- Ensure compliance with quality standards and timelines set by the company.
- Assist in managing vendor relationships supporting negotiations and maintaining strong partnerships.
- Maintain uptodate records of supplier agreements contracts and delivery schedules.
Production & Manufacturing Support: - Provide operational support to the manufacturing team assisting with workflow coordination and ensuring production schedules are adhered to.
- Assist in troubleshooting any operational bottlenecks and supporting process improvements.
- Liaise with the quality control team to ensure products meet required standards before distribution.
- Maintain and track production schedules ensuring all products are created and delivered in line with deadlines.
Customer Service & Communication: - Act as a liaison between the operations team and customers to ensure timely responses to queries regarding order status delivery times or product availability.
- Support the customer service team in resolving operational issues such as delivery delays or product discrepancies.
- Ensure clear communication with customers regarding any operational issues affecting their orders.
Documentation & Reporting: - Maintain accurate records of all operational processes including orders stock movements production reports and supplier communication.
- Prepare regular reports for senior management on stock levels order statuses and operational performance.
- Assist in the creation of SOPs (Standard Operating Procedures) for operational activities to ensure efficiency and consistency.
Compliance & Health & Safety: - Ensure that all operations comply with legal and regulatory standards including those related to the jewellery industry (e.g. gem certification hallmarking).
- Monitor health and safety standards in the operational environment and assist in ensuring compliance with workplace safety regulations.
Process Improvement & Efficiency: - Continuously monitor and identify opportunities to improve operational efficiency and reduce costs within the supply chain and production processes.
- Collaborate with the operations team to implement new systems tools or processes that streamline operations and improve productivity.
KNOWLEDGE & SKILLS:
Strong organizational and multitasking abilities.
- Detailoriented with a focus on accuracy in inventory and order management.
- Excellent communication skills both written and verbal.
- Ability to work collaboratively with internal teams and external partners.
- Proficient in Microsoft Office Suite (Excel Word PowerPoint) and experience with ERP systems or inventory management software.
- Familiarity with industryspecific software or tools related to jewellery manufacturing or inventory management.
- Knowledge of diamond grading and certification processes is a plus.
- Experience in a customerfacing role within the luxury or jewellery sector.
- A bachelors degree in Business Administration Supply Chain Management Operations or a related field is preferred.
- 23 years of experience in operations ideally within the jewelry or luxury goods industries.
- Familiarity with the diamond and precious stone trade as well as jewellery manufacturing processes is highly desirable.
- This position is based in Office.
- The role may require occasional travel.
