Our client is a leading financial company who is looking for a qualified candidate to join their firm.
Manage and supervise administrative functions:
- Oversee and be responsible for all administrative activities.
- Manage reception switchboard security drivers and technical staff.
- Ensure cleanliness security and orderliness of the office.
- Arrange allocate and transfer assets for reasonable and effective use.
- Manage logistics including transportation organizing conferences and seminars travel services and accommodation for staff on business trips.
- Maintain a safe clean working environment and amenities in the offices.
- Serve as the main contact with relevant authorities regarding office operations (local police fire prevention department electricity authority environmental sanitation agency etc.).
- Implement repair renovation and construction works for office spaces.
Refine and implement administrative processes:
- Advise the Board of Directors on methods and solutions to enhance workplace efficiency and quality while reducing costs.
- Develop and propose approval for procurement processes maintenance asset management equipment work tools and infrastructure.
- Manage fire prevention equipment and infrastructure as per regulations.
- Develop and refine policies/regulations standards norms related to administration ensuring compliance.
- Coordinate budget planning for construction/renovation and annual procurement:
- Identify procurement requirements and execute purchasing plans.
- Negotiate prices and manage procurement budgets.
- Participate in developing procurement budgets and asset/facility management plans.
Other tasks as required.
Requirements
- Bachelor s degree or higher; preference for fields related to business administration or administrative management.
- At least 7 years of experience in office management or administrative management at a similar position.
- Experience in procurement especially in the IT sector with large projects (purchasing equipment machinery software solutions various IT services etc.).
- Experience in managing highrise office buildings that serve both the business operations of the building owner (SSI) and managing leasing and tenants of part of the area in the building for office and food service businesses.
- Experience in organizing internal events with a scale ofpeople.
- Strong management and organizational skills.
- Good communication and negotiation skills.
- Proficient in office software.
- Conversational English proficiency.
