Virtual Rockstar is looking for a proactive and detailoriented Physical and Occupational Therapy Office Manager to help ensure the smooth and efficient operation of our client s clinic. This role is essential in supporting our client s therapists and families managing administrative and operational tasks and contributing to the overall success of the practice.

Responsibilities:
Insurance Verification & Authorization: Verify patient insurance eligibility obtain prior authorizations and resolve claim issues with insurance companies.
Phone Communication: Manage incoming calls return missed calls and ensure timely communication with patients families and insurance companies.
Patient Communication: Provide compassionate support to children and families addressing questions regarding billing insurance and appointments.
Administrative Support: Handle scheduling email management new patient intake supply ordering and general office administration.
Billing & Reporting: Generate invoices track payments and assist with financial reconciliation and reporting.
Compliance & RecordKeeping: Ensure accurate record maintenance HIPAA compliance and proper documentation of all communications.
Team Support: Assist with marketing efforts employee onboarding provider scheduling and other clinic needs.
Technology Management: Research and implement new software and technologies to improve clinic operations.
Preferred background in Physical Therapy (PT) or Occupational Therapy (OT) or experience in medical administration.
Proficiency in Fusion EMR Google Workspace and Notion preferred.
Strong organizational skills attention to detail and ability to manage multiple tasks effectively.
Excellent written and verbal communication skills.
