Role Overview
We are seeking highly organized detailoriented individuals to join our team as fulltime Admin Assistants in our Customer Service department. The successful candidates will play a crucial role in ensuring our customers have a seamless experience handling a large volume of email inquiries and processing orders with high accuracy.
Schedule
- Fulltime position
- Monday to Friday 9am to 5pm AEST (11:00 AM to 7:00 PM PHT)
- Some overtime may be required during peak times of the year
Job Description
Responsibilities:

Customer Service (Emailbased):
- Handle a large volume of customer inquiries exclusively through email
- Utilize tracking systems (e.g. DHL) to provide accurate delivery information
- Issue invoice copies proof of purchase and other relevant documentation
- Apply problemsolving skills to address customer inquiries effectively
- Manage email inbox proactively using organizational tools
- Provide clear concise communication to minimize backandforth exchanges
- Update internal notes with detailed information

Order Processing:
- Process a minimum of 50 orders per day with high accuracy
- Review purchase orders to identify potential omissions or errors
- Extract and input purchase order information into the Cin7 system
- Reconcile purchase orders against Cin7 to ensure accuracy
- Create pick slips for instock items and communicate with the warehouse team
- Manage outofstock situations and handle backorders with care
Requirements
Excellent written communication skills in English
Strong attention to detail and high accuracy in task completion
Ability to selfcheck work before submission
Proactive approach to learning and skill development
Excellent organizational skills for efficient multitasking
Critical thinking and common sense to assess and address customer queries
Proficiency in using CRM systems and order processing software
Deep understanding of backorder management
Minimum 1 year of experience using Cin7
Previous work experience in a wholesale company specializing in tapware/brassware is a major advantage but not essential
