This position requires excellent communication skills proficiency in office software and the ability to prioritize and multitask effectively.
Responsibilities:
Manage and maintain calendars for executives and/or teams scheduling appointments meetings and events.
Coordinate schedules with internal and external parties ensuring efficient time management and avoiding conflicts.
Send meeting reminders and confirmations.
Book flights hotels and transportation for business travel.
Prepare travel itineraries and expense reports.
Coordinate visa and passport applications as needed.
Manage insurance renewals researching competitive options and ensuring timely coverage.
Assist with permit applications gathering necessary documentation and ensuring compliance with requirements.
Process and track bill payments ensuring timely and accurate payment of invoices.
12 years of experience as an administrative assistant.
High school diploma or equivalent.
Associates or Bachelors degree is a plus.
Excellent organizational and time management skills.
Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook).
Strong communication and interpersonal skills.
Ability to prioritize and multitask effectively.
Attention to detail and accuracy.
Ability to maintain confidentiality.
Proactive and resourceful approach to problemsolving.
