Job Description

Our client a Private Family based in Qatar has an opportunity for an Executive Personal Assistant to provide highlevel administrative support to the family within an organisation. In order to be considered you must be medically fit a nonsmoker and have a South African Police Clearance.

Duties and Responsibilities:

  • Schedule and coordinate appointments meetings and events both social and business.
  • Anticipate and prepare materials and information needed for scheduled activities.
  • Act as a liaison between the principal and internal/external parties.
  • Handle phone calls emails and other communications when required.
  • Plan and organize domestic and international travel arrangements including flights accommodations and transportation.
  • Maintain organized and confidential records including personal and professional documents.
  • Draft and proofread correspondence emails and other written communications as needed.
  • Prepare agendas take meeting minutes and follow up on action items. Coordinate logistics and reservations for meetings and events.
  • Assist with personal tasks such as shopping gift purchases and other errands.
  • Track and reconcile personal expenses ensuring accurate records are maintained.
  • Handle sensitive information with discretion and maintain a high level of confidentiality.
  • Assist in prioritizing tasks and managing the Principals schedule effectively.
  • Be prepared to travel alongside the family if requested ensuring smooth coordination of all travelrelated arrangements.
  • While accompanying the Principal outside the country be responsive to needs and promptly address any requests contributing to a seamless and comfortable experience.
  • Managing of high value art collection arranging installations valuations shipping.
  • Coordinating and liaising with galleries museums and auction houses.

Required Experience and Qualifications:

  • Bachelors degree preferred.
  • Minimum 10 years of experience in supporting highlevel executives or individuals.
  • Female.
  • Nonsmoker.
  • Willing to travel as needed.
  • Language: English (French and Arabic is big plus.)
  • Nationality: Eastern Europe / South Africa / Australia
  • Minimum age: 30
  • GCC experience (preferably)

Technical Competencies

  • Proficient in MS Office and other relevant software.
  • Ability to maintain confidentiality and exercise discretion.
  • Exceptional organizational and multitasking abilities.
  • Technology Savvy.
