Job Description

Roles and responsibilities

As a vital part of our event crew, you will contribute to creating memorable experiences for our guests by providing outstanding service and support during events ranging from corporate gatherings to large festivals.

Your role will include various tasks such as setting up event spaces, assisting attendees, ensuring smooth event flow, and packing down after the event concludes. Flexibility, teamwork, and a positive attitude will be key to your success in this dynamic environment.

Requirements

Previous experience in event staffing or hospitality is a plus, but not mandatory
Strong communication skills in English; knowledge of additional languages is an advantage
Greeting and directing guests to appropriate areas, answering questions, and providing event information
Handling any guest-related concerns or issues in a professional and friendly manner
Excellent interpersonal skills; ability to work effectively in a team
Professional demeanor and a proactive approach to guest service
Availability to commit to scheduled events with reliability
Supporting vendors, performers, or speakers with their needs
Assisting with registration, ticketing, and seating arrangements
Event Coordinators:

Plan and manage the event's logistics.
Oversee the schedule and make sure everything runs on time.
Ensure the event aligns with the client’s vision.
Registration Staff:

Check-in guests and attendees.
Distribute badges, wristbands, or materials.
Assist with attendee queries.
Security Personnel:

Maintain safety and order at the event.
Manage crowd control.
Enforce rules, like entry restrictions or prohibited items.
Ushers and Greeters:

Welcome guests and direct them to their seats or areas.
Provide directions around the venue.
Help with audience seating, ensuring smooth entry and exit.
Technical Support:

Set up and monitor sound, lighting, AV equipment.
Troubleshoot technical issues during the event.
Assist speakers or performers with microphones, slides, or other media.
Catering and Food Service:

Serve food and beverages to guests.
Ensure food stations are stocked.
Manage bar areas or food trucks.
Setup and Breakdown Crew:

Assist with setting up the event venue, including arranging furniture, staging, and decorations.
Clean up and break down the venue after the event.
VIP/Host Staff:

Provide personalized service to VIP guests.
Coordinate with sponsors, speakers, or special guests.
Handle any special requests from high-profile attendees.
Event Assistants:

Provide general assistance wherever needed.
Help with tasks like handing out materials, monitoring specific areas, or providing customer service.


Desired candidate profile

  • Excellent Communication Skills:

    • Ability to clearly communicate with guests, team members, and event organizers.
    • Friendly, approachable demeanor and strong interpersonal skills.
    • Multilingual skills are a plus, especially for large, international events.
  • Customer Service Orientation:

    • A positive attitude and the ability to provide exceptional service, creating a welcoming atmosphere for guests.
    • Ability to handle inquiries and resolve issues promptly and politely.
  • Team Player:

    • Ability to work collaboratively with other staff members, contractors, and vendors to ensure smooth event operations.
    • Adaptability in a fast-paced, dynamic environment.
  • Strong Organizational Skills:

    • Detail-oriented with the ability to manage multiple tasks and keep track of event schedules.
    • Ability to anticipate needs and be proactive in managing event logistics.
  • Problem-Solving Abilities:

    • Quick thinking to resolve minor issues or challenges that may arise during the event.
    • Calm under pressure, especially in busy or high-stress situations.
  • Flexibility & Availability:

    • Willingness to work flexible hours, including evenings, weekends, and holidays, depending on event schedules.
    • Ability to handle physically demanding tasks (e.g., lifting, standing for long periods, etc.).
  • Experience (Preferred but Not Required):

    • Previous experience in event staffing, hospitality, customer service, or related roles.
    • Familiarity with event management tools or ticketing systems (e.g., Eventbrite, Cvent) is a plus.
    • Basic knowledge of AV or technical support is a bonus for technical event staff.
  • Professionalism & Appearance:

    • Professional demeanor and attire appropriate for the type of event (uniforms, business casual, or event-specific dress codes).
    • Punctuality and reliability in fulfilling event schedules.
  • Physical Stamina:

    • Ability to stand, walk, or move around the event space for extended periods.
    • Ability to lift, carry, or set up equipment when necessary (specific weight requirements may apply).
  • Safety Awareness:

    • Basic understanding of health and safety regulations in event settings.
    • Ability to follow security procedures and act in an emergency if necessary.
