Monday to Friday 8am 5pm Eastern North Carolina Time (8 PM to 5 AM Manila Time)
As the Administrative Support you will play a crucial role in supporting our administrative team and ensuring the smooth daytoday operations behind the scenes of the agency. Your attention to detail strong organizational skills and ability to handle multiple tasks will be essential in helping us deliver exceptional services to our clients and maintain our competitive edge in the industry.
Key Responsibilities:
Data Entry:
Assist in the accurate and timely data input including maintaining and updating client spreadsheets.
Organization:
Manage files within Google Drive ensuring they are wellorganized correctly named and easily retrievable for the team.
Tools Support:
Trello: Set up and manage Trello boards timelines and tasks to streamline project management for the team.
GHL (Go High Level): Create workflows and automation and manage CRM systems to support marketing campaigns newsletters and email reminders.
Internal Support:
Help the team stay on track by sending reminders ensuring deadlines are met and providing overall project coordination support.
Assist in onboarding new clients by setting up or editing Trello boards to ensure a smooth process.
Help monitor the administrative managers email inbox flag important messages and organize communications for easy access.
Help the administrative manager identify areas for improvement in daily workflows and suggest ways to optimize procedures for efficiency.
AdHoc Tasks:
Remain flexible and responsive ready to take on various adhoc tasks as they come up contributing to the overall efficiency and success of the agency.
Requirements
Tool Knowledge: Trello and Google Workspace (and potentially others).
Proficient in integration and workflow automation in GoHighLevel
Communication: Excellent verbal and written communication with attention to detail.
Tech Savviness: Comfortable using Google Workspace and the ability to learn new platforms quickly.
Organizational Skills: Strong at task prioritization meeting deadlines and maintaining order.
Adaptability: Comfortable in fastpaced constantly evolving environments like those in digital marketing.
Positive Attitude: Proactive solutionoriented and ready to tackle challenges.
Experience: Prior administrative experience is preferred but not a requirement.
Proactivity: Able to take initiative and foresee needs in the role.
