Job Description

Roles and responsibilities

  • Guarantee coordination, control of activities from purchase order placement to delivery to final destination for material management, material progress status, material quality control, shipping, customs clearance to ensure compliance with technical and qualitative requirements defined during the design phase and to be in line with project plans and business strategies
  • Guarantee an overview of available resources in terms of competences, ability, assuring their optimal use

Job Tasks

  • Maintain the adequate relationship with the corresponding corporate function for all matters
  • Ensure the optimal execution of the post order management activities on projects, guaranteeing the availability of qualified competences suitable for the business needs
  • Coordinate and control, regarding the technical and qualitative aspects, the developed activities, ensuring that the objectives set for projects are respected
  • Ensure the coordination of planning, design and management of transportations and relevant customs files, to guarantee, in conjunction with the competent Functions, the availability of materials within defined times, the transport optimization and clearance process completed in line with local requirements
  • Participate to the process of vendors qualification and evaluation of proposals with regard to materials characteristics and delivery times and ensure to the relevant Company Functions the availability of feedbacks on vendors performances
  • Ensure the required information flows toward the competent Functions for liquidated damages and prices revision
  • Guarantee the elaboration and availability of elements needed for the definition of competitive estimates during bidding phase
  • Ensure, when required, the availability of qualified competences or specialized services regarding the different activities and the different businesses of Saipem
  • Ensure the correct use of company tools (SAP, DW, PWS, IBIS PAGE, etc.) by the local post order personnel and, if necessary, provide an appropriate staff training
  • Ensure the retrievable archive of documents relevant to good receipt, shipping and customs activities
  • Ensure, when required, the availability of qualified resources to carry out field material management activities
  • Maintain an Inter-departmental relationship and cooperation with Project QHSE personnel on issues pertaining to Quality, Health, Safety, Environment and Sustainability

Desired candidate profile

  • Industry Knowledge: Experience in industries such as manufacturing, retail, or distribution can be particularly beneficial.

Technical Skills

  • Order Management Systems: Proficient in using order management software and enterprise resource planning (ERP) systems (e.g., SAP, Oracle).
  • Data Analysis: Strong analytical skills to evaluate order data and performance metrics, enabling informed decision-making.

Communication Skills

  • Interpersonal Skills: Excellent communication and interpersonal skills for interacting with customers, sales teams, and cross-functional departments.
  • Documentation: Ability to prepare and maintain accurate order documentation, reports, and correspondence.

  • Customer Service Orientation: Strong commitment to providing exceptional customer service and resolving order-related issues effectively.
  • Relationship Building: Ability to build and maintain positive relationships with customers and internal stakeholders.
