Job Title: Administrative Assistant
Status: PartTime (30 hours per week)
The Rose Andom Center is seeking an Administrative Assistant to manage daily office operations and provide general administrative support to the Executive Director and the Finance & Operations Director.
General Administrative & Office Support:
- Organize office and program supplies for staff and partners.
- Assist with onboarding and offboarding of new staff including office tours desk space coordination security badge management and technology training.
- Support the Finance & Operations Director with staff timesheet management.
- Attend meetings take notes/minutes and follow up on assigned action items.
- Manage calendars and notes for staff and partner meetings.
- Organize and maintain both physical and digital records.
- Respond to phone calls and emails and monitor shared inboxes.
- Maintain inventory of print materials (brochures flyers) and office equipment.
- Oversee the PO Box and distribute incoming/outgoing mail.
- Purchase supplies within the allocated budget as needed.
- Book travel and conference registrations for staff and partners.
- Assist in planning and implementing appreciation events for staff and partners.
- Perform other tasks as assigned by the Executive Director and/or Finance & Operations Director.
Facilities Administration:
- Serve as the primary contact for questions regarding operations facilities IT parking and maintenance.
- Act as a liaison between building tenants and the Rose Andom Center.
- Communicate building updates regularly with partners tenants and staff and maintain an accurate building directory.
- Coordinate with City General Services IT support and other vendors for maintenance and service requests.
- Assist in managing office technology and improvements.
- Oversee keycard access security system and track badge assignments.
- Monitor parking garages and maintain a list of approved vehicles.
- Address facilityrelated requests or concerns promptly.
- Keep common areas such as the copy room intake rooms and food pantry orderly and stocked.
- Perform other related tasks as assigned.
Meeting & Event Coordination:
- Maintain the schedule for meetings and events reviewing requests for use and providing necessary support.
- Ensure furniture and AV equipment are operational and ready for use.
- Assist with major events such as conferences and training sessions.
Requirements
Qualifications:
- Minimum of two years of experience in an administrative role.
- Familiarity with nonprofit operations and commitment to the Rose Andom Centers mission.
- Excellent written and verbal communication skills.
- Detailoriented observant and accurate; able to find information quickly and solutions.
- Reliable consistent and highly organized with the ability to follow tasks through to completion.
- Strong computer skills and the ability to learn new software; proficiency in Microsoft Office Suite Office 365 Administration SharePoint Google tools and VoIP systems.
- Comfortable setting up virtual and inperson meetings; familiar with Zoom HDMI connections and conference call services.
- Able to provide thoughtful and diplomatic solutions to daily challenges.
- Consistent and equitable in work and communication.
- Capable of creating a welcoming atmosphere for team members clients and visitors.
