Title: Project Operations Manager
Reports to: Director of Engineering
Job Type: Fulltime
Overview: Experienced Delivery Manager to oversee the daytoday operations of VirtuIT’s engineering department. The Project Operations Manager will work closely with the Directors Engineering and Sales to ensure that engineering projects are executed efficiently and effectively. The ideal candidate will have a strong technical background and experience managing teams projects and processes in a
fastpaced engineering environment.
Key Responsibilities:
1. Manage the daytoday operations of Engineering Projects including resource planning scheduling project management (start to finish) setting expectations of employees as well as customers and process improvement.
- Manage all postsale activities of all projects (internal external and Managed Service Client Projects) including project kickoff scheduling implementation & client communication and expectation setting.
- Postsale activities include managed services accounts projects and block of hours contracts.
- Ensure Projects plans are available updated weekly and communicated to both sales and customer.
- Ensure all customers and projects have a baseline level of communication wit the goal of setting customer expectations regarding project completion.
- Host project kickoff calls (internal and external) and ensure engineers are prepared for these calls.
- Hold 1:1 meetings with engineers to explore project details and push the project tasks forward. Ensure Engineers are continuing to complete project tasks and projects do not become “stale”.
- Design and maintain a dashboard which is reportable to sales and management regarding project completion and customer issues.
2. Complete vendorbased project documentation such as CAF (Customer approval) forms.
3. Develop project plans aboveandbeyond CRM toolbased project upload (i.e. MS Project) where appropriate (large or lengthy projects).
4. Evaluate project outcomes and lessons learned and provide feedback and recommendations for continuous improvement. Report on hours logged vs estimated.
5. Work closely with company management to develop and implement operational improvements that align with overall company strategy (communication customer satisfaction and excellence in execution). Develop and implement processes and procedures to improve the efficiency and effectiveness of engineering projects.
- Example: Develop reports to track hours logging by engineers and enforce good time logging standards when issues arise.
- Suggest process improvement and champion implementation of process improvement
6. Proactively maintain and provide service to accounts to ensure customer satisfaction. Work with management and sales teams to provide relevant customer feedback to the engineering team. Be a driving force behind client satisfaction and related satisfaction surveys.
- Example: Reading into the tone and frequency customer’s email communication to identify customer satisfaction or risks to customer satisfaction and act accordingly by getting updates from engineering and determining the next steps for the customer with engineering (often a plan with committed dates will follow).
- Example: Notice a trend in customer Cloud Storage buckets filling up put a process in place so that engineering notices these before they happen and takes action.
- Be a driving force behind client satisfaction and related satisfaction surveys.
7. Apply project management best practices and methodologies such as agile waterfall or hybrid depending on the project needs and requirements.
8. Develop and maintain relationships with crossfunctional teams including sales finance and operations to ensure that engineering projects are aligned with overall company strategy.
9. Stay current with industry trends and emerging technologies and make recommendations on their application to our products and service offerings
10. Other tasks as directed or needed to fulfill the company’s mission and vision
2025 Growth Objectives
- Automate all hourslogged reporting for engineering. Continue to drive good time entry practices.
- Automate reporting upon project closure which includes project TTC (Timetoclose) and Estimated vs Actual Hours worked.
- Reporting on Revenue Attribution also defined as attributing revenue to engineers. Work with other management and Autotask SME to develop a system where engineers can be credited with client revenue.
- Implementation of the Lattice Tool for goalsetting.
- Work with management team to Automate reporting on Chargeback
- “Cleanup” Customer data and contract data in Autotask with the help of inside sales and offshore CRM Engineer
