Job Description

Roles and responsibilities

Administrative Support:

  • Office Management: Maintain a well-organized office environment, including managing supplies and equipment.
  • Scheduling: Coordinate and manage appointments, meetings, and travel arrangements for staff or executives.
  • Communication: Serve as the first point of contact for visitors and callers, directing inquiries appropriately.

Document Management:

  • Filing and Organization: Maintain physical and electronic filing systems, ensuring documents are easily accessible.
  • Record Keeping: Assist in the preparation and management of reports, presentations, and other documents.
  • Data Entry: Input and update information in databases and spreadsheets accurately.

Financial Tasks:

  • Budget Tracking: Assist with budget monitoring and expense reporting.
  • Invoicing: Prepare and process invoices and other financial documents as needed.

Project Assistance:

  • Support Projects: Assist in the planning and execution of projects, coordinating tasks and timelines.
  • Research: Conduct research and gather information to support projects or decision-making.

Team Collaboration:

  • Support Teams: Provide administrative support to various departments as required, fostering collaboration.
  • Event Coordination: Help organize company events, meetings, and training sessions.

Customer Service:

  • Client Interaction: Handle inquiries and provide information to clients and stakeholders in a professional manner.
  • Problem Solving: Address issues or concerns from clients and escalate when necessary.

Miscellaneous Tasks:

  • Mail Management: Manage incoming and outgoing mail and packages.
  • Office Maintenance: Ensure that the office is clean, well-maintained, and conducive to productivity.

Skills and Qualifications:

  • Communication Skills: Excellent verbal and written communication abilities.
  • Organizational Skills: Strong organizational skills and attention to detail.
  • Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Time Management: Ability to prioritize tasks and manage multiple responsibilities efficiently.

Desired candidate profile

Suitable University Graduate
2+ years experience in administrative position (Preferred in IT business)
Experience in dealing with corporate accounts
Excellent Computer skills (Office, Internet & E-mail)
Excellent business writing skills
Fluency in English language
Proven communication and customer relationship skills
Highly proactive, initiative & self-motivated
Presentable and Punctual
