Administrative Assistant Remote
A Construction Administrative Assistant provides clerical and support to construction professionals such as project manager contractors and field managers.
- Communication: Answer phones respond to emails and act as a point of contract for vendors and subcontractors.
- Scheduling: Coordinate meetings and travel arrangments poject managment teams.
- Payroll: Keep track of employees hours/days worked create payroll for employees and subcontractors based on hours/days worked and /or contract terms record the payroll and draw expenses to the correct job spreadsheet.
- Social Media: Create and maintain social media accoiunts for the company take/request before and after pictures of jobs under contract keep up with the day to day engagment update paltforms with job pics and create content.
- Documentation: Prepare and maintain technical lists data sheet and document packages.
- Project managment: Track change orders RFIs and submittal packages.
- Financial: Prepare project budgets financial documentation aand invoices.
- Office managment: Set up filing systems order office supplies and ensure office supplies in stock.
- Vendor management: Negotiate prices with vendors address billing or ordering issues and assist with vendor approval and setup for payment.
- Reporting: Prepare reports communicatioms and meeting minutes.
- Contract management: Prepare and manage construction contracts.
- Bilingual: Desired but not required.
