Position Overview:
The Legal Senior Onsite Service Specialist plays a critical role in supporting document management mail services and general administrative tasks within a legal environment. This position requires a blend of customer service technical expertise and operational efficiency to meet the specialized needs of legal professionals and executivelevel clients.
Key Qualifications:
- Education: A high school diploma or GED is required.
- Experience: Minimum of 12 years in a similar role; experience in the legal industry is highly preferred.
- Skills: Strong customer service communication and troubleshooting abilities are essential.
- Technical Knowledge: Basic knowledge of copier equipment repair skills and a background in shipping/receiving procedures.
- Additional Requirements:
- A valid drivers license with insurance may be required per company policy.
- Familiarity with software for document management and cost recovery is advantageous.
Core Responsibilities:
- Document Services: Operate highvolume duplicating and binding equipment; perform quality control file conversion and advanced formatting for sensitive legal documents.
- Mail and Shipping: Handle incoming/outgoing mail distribute fax transmissions and coordinate shipping/receiving tasks. Ensure accurate handling and tracking of materials.
- Equipment Maintenance: Conduct daily inspections of convenience copiers resolve issues like paper jams and perform maintenance. Notify technicians of repair needs as necessary.
- Administrative Support: Provide customer service by answering inquiries managing billing logs and delivering completed work to clients.
- Project Coordination: Assist in projects involving offsite resources and support project setups like meeting rooms and conference spaces.
- Customer Interaction: Serve as a key point of contact for executivelevel clients including legal secretaries paralegals associates and partners. Manage tight deadlines with accuracy and professionalism.
- Additional Duties: Periodically assist with light maintenance filing purging scanning and file archiving.
Work Environment and Additional Information:
- This role operates primarily within a legal office providing support to highprofile clients with professionalism and attention to detail.
- Occasional overtime including weekends or emergency responses may be required.
- Utilize a range of office equipment including copiers fax machines postage meters and computers to complete daily tasks effectively.
Note: This position reports directly to the Site Manager Supervisor or Assistant Site Manager based on the sites structure.
