Summary of Responsibilities:
Reporting to the Director of Event Sales & Services responsibilities and essential job functions include but are not limited to the following:
- Consistently offer professional friendly and engaging service
- Confirm all event related information with clients in a timely manner
- Establish and maintain rapport with clients prior to during and post conference encouraging repeat business
- Organize conference cruise entertainment and meeting bookings from date of booking to departure including meeting requirements guest room requirements guest room pickup food & beverage and audio visual
- Create detailed event orders and resumes to ensure all operational departments are provided accurate information in a timely manner.
- Create floor plans for each event to ensure banquets and clients are in agreement prior to set up
- Conduct preconference meetings with clients and pertinent departments to confirm all relevant details are communicated
- Conduct and/or attend daily meeting to review event contracts and ensure last minute changes are communicated with appropriate departments
- Create proposals for new event business process changes to contracts and addendums
- Organize hotel site tours to showcase the Fairmont Olympic Hotel
- Initiate billing procedures ensuring any deposits and/or credit applications are received with adequate information and within an acceptable time frame
- Handle special projects in addition to daily tasks
- Ensure open communication with department coordinators holding consistent oneonone meetings
- Support and encourage effective working relationships within the team and supporting departments
- Follow departmental policies procedures and service standards
- Follow all safety policies
- Other duties as assigned
Qualifications :
Qualifications:
- Previous leadership experience within a similar role preferred
- Previous Front Desk Event Coordinator and/or Reservations experience required
- University/College degree in a related discipline preferred
- Previous Property Manager System and Passkey experience preferred
- Computer literate in Microsoft Window applications required
- Strong interpersonal and problem solving abilities with a high attention to detail
- Strong organization and time management skills
- Excellent communication skills both written and verbal
- Ability to work well under pressure in a fast paced environment handling many tasks simultaneously
- Ability to work independently and complete assigned tasks as well as work cohesively as part of a team
- Ability to focus attention on guest needs remaining calm and courteous at all times
- Highly responsible & reliable
