Job Description

Operational Management & Digitization:

  • Oversee and manage the daytoday operations to ensure smooth workflows optimal resource utilization and timely execution of tasks.
  • Lead the assessment and implementation of digital tools to improve operational efficiency and reduce manual processes.
  • Develop and maintain digital document management systems to improve organization and ease of access to key information.
  • Standardize data collection reporting and performance metrics to facilitate informed decisionmaking and continual improvements.

Administrative Leadership:

  • Supervise and streamline all administrative activities to maintain high standards of organization and resource management.
  • Manage office facilities equipment and supplies ensuring effective utilization of resources.
  • Oversee vendor relations negotiating contracts and ensuring value for money in procurement and services.
  • Organize travel logistics accommodation and event coordination for staff and external stakeholders.
  • Lead the planning and execution of teambuilding activities office events and initiatives that promote collaboration and morale.

Project Management & Coordination:

  • Coordinate and oversee company projects ensuring they are completed on time within budget and in alignment with business objectives.
  • Implement and maintain strong project management practices using digital tools to track progress and facilitate communication.
  • Collaborate closely with internal departments to ensure smooth project execution particularly with donor engagements and event planning.
  • Identify and mitigate risks to ensure projects remain on track and meet established KPIs.

Team Leadership & Collaboration:

  • Lead mentor and motivate a crossfunctional operations team to achieve performance targets and drive operational excellence.
  • Provide guidance and support to team members fostering a culture of accountability and high performance.
  • Facilitate effective communication across departments to ensure alignment of operational goals with overall company objectives.


Requirements

Qualifications:

  • Bachelor s degree in Business Administration Operations Management Project Management or a related field (Master s degree preferred).
  • 7 years of experience in operations administration and project management roles with demonstrated leadership and management capabilities.
  • Strong organizational and project management skills with a track record of delivering successful projects.
  • Experience in implementing digital tools and solutions to streamline processes.
  • Excellent problemsolving and decisionmaking skills with a datadriven approach.
  • Strong communication and interpersonal skills to foster collaboration across teams.
  • Proficiency in project management software (e.g. Zoho Projects) and office productivity tools.
