Pullman on the park is currently looking for a Maintenance Coordinator to work within the Maintenance team reporting to the Chief Engineer.
The role would have the following key responsibilities:
- Manage Maintenance Requests: Act as the main point of contact for all hotel departments regarding maintenance needs. Coordinate the resolution of work orders efficiently to minimize downtime and disruption to operations.
- Schedule and Prioritize Tasks: Develop and manage a daily and weekly schedule for the maintenance team prioritizing tasks based on urgency and operational needs.
- Vendor and Contractor Liaison: Coordinate with external vendors and contractors for specialized repairs ensuring that all thirdparty work aligns with hotel standards and requirements.
- CrossDepartment Communication: Collaborate with other departments (Kitchen F&B Front Office external service providers etc.) to ensure seamless communication during maintenance activities. Notify relevant teams of any disruptions or required access to guest areas.
- Team Coordination: Oversee the daytoday activities of the maintenance team ensuring tasks are properly delegated and resources are allocated effectively.
- Project Coordination: Assist in coordinating larger renovation or repair projects including tracking timelines managing costs and ensuring minimal impact on hotel operations.
- Managing contractor sign in / out process and key logs. Work Order Management: Maintain a detailed log of all maintenance work orders tracking status from request to completion. Ensure records are updated in realtime and accessible for reporting purposes.Preventive Maintenance Records: Track and document all preventive maintenance activities including routine checks on HVAC systems plumbing electrical and other critical hotel systems. Ensure that these records are maintained for regulatory compliance and audit purposes to align with AESC. Vendor Contracts and Service Agreements: Keep accurate and organized records of all service contracts with external vendors Service records. Ensure timely renewal and adherence to contract terms.Inventory Management: Maintain an uptodate inventory of all maintenance supplies tools and equipment. Document usage and reordering needs to prevent shortages or delays in repairs.
- Budget Tracking: Assist in maintaining detailed records of maintenance expenditures tracking spending against the budget and providing reports to upper management as needed.
- Incident Reporting: Document any safety incidents accidents or equipment failures. Ensure reports are filed and communicated to relevant departments and regulatory bodies if necessary.
- Health & Safety Regulations: Ensure all maintenance activities comply with local state and national health and safety regulations. This includes fire safety electrical safety chemical handling and emergency evacuation protocols.
- Building Code Compliance: Regularly review and ensure that all facilities comply with building codes including plumbing electrical and structural standards. Coordinate necessary repairs or upgrades to maintain compliance.
- Inspection and Audit Coordination: Organize and oversee inspections from regulatory bodies (fire department health department etc.) ensuring that all hotel systems and records are up to date and compliant.
- Environmental Compliance: Ensure that all maintenance operations including waste disposal energy usage and water management adhere to environmental regulations. Monitor and document the hotels sustainability initiatives through GAIA 2.0.
- Licensing and Certifications: Ensure that all required certifications (e.g. boiler elevator HVAC) are up to date and that the hotel holds valid operating licenses for all systems and equipment.
- Safety Training Compliance: Coordinate ongoing safety training for the maintenance team to ensure they are knowledgeable about the latest regulations and best practices. Maintain records of training completion for compliance purposes.
- Emergency Response Preparedness: Ensure that maintenance staff are trained and ready to respond to emergencies such as power outages or equipment malfunctions. Maintain documentation of emergency response procedures and drills.
Qualifications :
- Certificate / Diploma or equivalent (required); technical certifications (preferred).
- 23 years of experience in facility maintenance or a related field.
- Experience with work order systems and preventive maintenance programs.
- Strong knowledge of HVAC plumbing electrical and building systems.
- Excellent organizational computing and communication skills.
