About the Role: We are seeking an experienced and highly organized Executive Assistant to support the Director 1:1 and work closely with the General Manager. You will be based at either the Barcelona or Amposta office but must be able to travel frequently between these two locations and occasionally to Madrid. This role is essential in managing a wide range of administrative tasks translating communications from Spanish to English and acting as a key liaison between the Director internal teams and external stakeholders. You will be responsible for managing a busy diary travel logistics and other executive support functions while handling lastminute changes with ease.
Key Responsibilities:
Executive Support:
Manage the Director’s calendar scheduling meetings appointments and travel arrangements across multiple locations.
Handle all communication emails and phone calls in both Spanish and English.
Act as the Director’s righthand support providing daily updates and reporting.
Prepare and organize monthly management board packs including minutetaking and creating presentations.
Assist with expense management ensuring timely reconciliation.
Translation & Interpretation:
Translate meetings emails and documents from Spanish to English for the Director.
Provide realtime interpretation during meetings (virtual and inperson).
Liaise with Spanishspeaking clients and stakeholders to ensure seamless communication.
Travel & Diary Management:
Arrange domestic and international travel including flightsaccommodations and ground transportation.
Organize and plan the Director’s schedule ensuring all travelrelated tasks are managed efficiently.
Administrative Duties:
Manage office facilities ensuring smooth daily operations across multiple locations.
Assist with client and stakeholder communication on behalf of the Director.
Perform research projects collating and presenting information to support executive decisionmaking.
Event Organization:
Plan and coordinate events both internal and external ensuring all logistical needs are met.
Organize meetings conferences and other corporate events as required.
Internal Communication:
Serve as a bridge between employees and the Director facilitating clear and effective communication within the organization.
Follow up on action items from meetings and ensure completion of tasks.
Requirements:
57 years of experience as a PA/EA supporting Csuite level executives.
Fluency in both Spanish and English is mandatory with proven translation and interpretation skills.
Bachelor's degree or equivalent work experience.
Excellent organizational skills able to multitask and prioritize a highvolume workload.
Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook).
Exceptional written and verbal communication in both languages.
Experience managing diaries travel and events for Csuite executives.
High level of professionalism confidentiality and discretion.
Strong problemsolving abilities and attention to detail.
Experience in a fastpaced and dynamic environment.
