TECS is a key partner of Woodward specializing in the distribution repair service and modernization of highend control systems for engines and turbines in sectors like refineries shipping and offshore. As a Project Administrator you ll be part of a dynamic technically oriented environment where you will manage multiple projects while ensuring seamless execution.
Role Overview:
As a Freelance Project Administrator at TECS you will be responsible for the administrative coordination of technical projects from start to finish. Your role includes project planning scheduling managing subcontractors and coordinating with both internal and external stakeholders. You ll work closely with engineers and other departments to ensure projects are delivered on time within budget and according to the client s specifications.
You will join the project from the kickoff meeting with the sales team to understand the full project scope. You ll also handle essential project logistics such as materials procurement invoicing and uploading technical documents to client portals. Managing transportation and accommodation for engineers traveling to project sites including offshore locations like oil rigs is part of your responsibilities.
Responsibilities:
- Kickoff & Scope Management: Join sales team in project kickoff meetings to understand the projects full scope.
- Project Coordination: Collaborate with the Service Coordinator to create detailed project plans and ensure project delivery.
- Invoicing & Procurement: Manage projectrelated invoicing ensure necessary materials (e.g. customized control cabinets) are ordered and equipment is prepared according to customer specifications.
- Engineer Scheduling: Plan and schedule four engineers using Odoo to ensure they are available and equipped for project tasks.
- Client Communication: Act as a point of contact for clients keeping them updated on project status and progress.
- Stakeholder Management: Communicate and coordinate with internal departments such as Finance Sales and Engineering ensuring smooth execution.
- Subcontractor Management: Oversee subcontractors and ensure they meet project deadlines and requirements.
- Documentation: Upload technical documents and project data to the clients private portal.
- Logistics: Arrange transportation and accommodation for engineers when necessary (e.g. offshore oil rigs).
- Multiproject Management: Manage up to 4 projects simultaneously ensuring all deadlines are met.
Requirements:
- Experience: 5 years of project administration or coordination experience in a technical environment.
- Education: Associate /bachelor degree in a technical field
- Skills: Experience using project management tools
- Language: English is required; Dutch is a plus but not essential.
- Availability: Able to work onsite in Hoofddorp.
- Flexibility: Willing to manage logistics for projects in international locations including travel arrangements for engineers.
- Soft Skills: Excellent organizational multitasking and communication skills. Ability to manage time efficiently and prioritize tasks.
