Job Description

Overview:


The Virtual Assistant CEO Office plays a crucial role in providing highlevel administrative support to the CEO ensuring smooth operation of the executive office and efficient communication both internally and externally.

Key Responsibilities:


  • Manage and maintain CEOs calendar coordinating appointments and meetings
  • Conduct research and prepare reports presentations and correspondence
  • Handle sensitive and confidential information with discretion
  • Act as a primary point of contact for internal and external stakeholders
  • Provide administrative support including managing emails phone calls and travel arrangements
  • Organize and prioritize tasks to ensure deadlines are met
  • Coordinate and oversee special projects and events
  • Monitor and respond to CEOs emails and inquiries
  • Collaborate with other team members to ensure effective communication and workflow
  • Assist in managing digital files and documents
  • Handle adhoc administrative duties as required
  • Prepare briefing materials for meetings and appointments
  • Proactively identify opportunities to optimize processes and workflow
  • Provide support for personal tasks and projects as needed
  • Facilitate communication and coordination with internal and external partners

Required Qualifications:


  • Bachelors degree in Business Administration or related field
  • Proven experience as an executive or administrative assistant
  • Exceptional organizational and time management skills
  • Strong communication and interpersonal abilities
  • Proficient in MS Office and other relevant software
  • Ability to handle multiple tasks and prioritize effectively
  • High level of professionalism and confidentiality
  • Excellent problemsolving and decisionmaking skills
  • Ability to work effectively in a fastpaced environment
  • Detailoriented with strong analytical skills
  • Experience in project management is a plus
  • Knowledge of office management systems and procedures
  • Ability to adapt to changing priorities and schedules
  • Ability to work independently and as part of a team
  • Flexibility and adaptability to dynamic work situations
