Overview:
The Executive Assistant plays a crucial role in supporting executives and ensuring the smooth operation of the organization. They are responsible for handling a wide range of administrative and executive support tasks contributing to the overall efficiency and effectiveness of the leadership team.
Key Responsibilities:
- Manage executives calendars and schedule appointments
- Coordinate meetings including preparing agendas and taking minutes
- Screen and direct phone calls and distribute correspondence
- Conduct research and prepare presentations or reports
- Act as the point of contact between executives and internal/external clients
- Make travel and accommodation arrangements
- Assist in budget preparation and expense tracking
- Handle confidential documents ensuring they remain secure
- Monitor office supplies and negotiate with vendors
- Organize and maintain the office filing system
- Assist in the onboarding process for new employees
- Provide administrative support to ensure efficient operation of the office
- Handle requests and queries appropriately
- Perform other adhoc administrative duties as needed
- Coordinate and facilitate communication between various departments
Required Qualifications:
- Bachelors degree in Business Administration or relevant field
- Proven experience as an executive assistant or similar role
- Proficient in MS Office Suite and other office management software
- Excellent time management skills and the ability to prioritize work
- Outstanding organizational and multitasking abilities
- Strong written and verbal communication skills
- Discretion and confidentiality in handling sensitive information
- Ability to work effectively in a fastpaced environment
- Detailoriented and proactive with strong problemsolving skills
- Professional demeanor and strong interpersonal skills
- Familiarity with basic research methods and data analytics
- Ability to adapt and learn new technology quickly
- High level of efficiency and selfmotivation
- Experience in project management is a plus
