Overview
The Executive Assistant to Managing Director plays a crucial role in providing highlevel administrative support to the Managing Director ensuring smooth and efficient operations within the organization. This position is instrumental in coordinating and managing the Managing Directors schedule facilitating communication within the management team and handling sensitive information with professionalism and confidentiality.
Key responsibilities
- Manage the Managing Directors calendar including scheduling meetings appointments and travel arrangements
- Act as the primary point of contact for internal and external stakeholders efficiently and professionally representing the Managing Directors office
- Coordinate and organize meetings conferences and events including logistical arrangements and preparation of relevant materials
- Prepare and edit correspondence reports and presentations on behalf of the Managing Director
- Facilitate seamless communication within the management team and across various departments
- Handle sensitive and confidential information with discretion and professionalism
- Conduct research compile data and prepare documents for review and presentation
- Manage and prioritize incoming requests and inquiries directing them to the appropriate individuals or departments
- Assist in the preparation and monitoring of budgets expense reports and financial documents
- Coordinate and oversee special projects and initiatives as assigned by the Managing Director
- Anticipate the needs of the Managing Director and proactively address administrative requirements
- Maintain organized and efficient filing systems for correspondence documents and records
- Collaborate with other executive assistants and administrative staff to ensure efficient operations across the organization
- Stay informed about industry trends and best practices to enhance administrative support and effectiveness
Required qualifications
- Proven experience in an executive support role preferably as an executive assistant or administrative assistant
- Exceptional organizational and time management skills with the ability to multitask and prioritize effectively
- Strong written and verbal communication abilities including professional correspondence and presentation skills
- Demonstrated ability to handle confidential information with discretion and uphold a high level of professionalism
- Proficiency in using office software and applications including word processing spreadsheets and presentation software
- Ability to work effectively in a fastpaced environment remaining calm under pressure and adapting to changing priorities
- Excellent interpersonal skills and the ability to collaborate with colleagues at all levels of the organization
- High level of integrity reliability and strong work ethic in executing responsibilities
