Executive Assistant to General Manager
Scope of the role
As the chief executive officer the available time of the General Manager is at an absolute premium. This position provides the level of executive assistance and support that enables the General Manager to give maximum focus to the pursuit and achievement of the business major objectives.
Responsibilities
- Manage the General Manager s office; oversee workload and completion of daytoday work as directed by the General Manager including word processing shorthand and file movements
- This will also include coordination of activities across the organization and allocation of work to other administrative roles
- Anticipate and meet the General Manager s administrative support needs
- Ensure that representations to the General Manager on operational matters are investigated and followed up by appropriate staff and wherever possible without necessitating the direct involvement of the General Manager
- Provide personal assistance to the General Manager with scheduling the day s activities and appointments; monitoring that the General Manager s daily obligations in terms of meetings and deadlines are met
- Manage correspondence and reporting on behalf of the General Manager
- Represent the General Manager in a professional and diplomatic manner on occasions at meetings and to other Company staff and members of partner organizations
- Provide administrative support including the organization of meetings attendance at conferences and seminars travel and accommodation etc.
- Initiate and pursue the necessary followup actions arising from the General Manager s meetings
- Organize official functions for Eurotex and its representatives; order key event supplies as required
- Coordinate the General Manager s travel arrangements including Meetings/Conferences of personal and organizational membership engagements in different structures
- Follow up on outstanding correspondence General Manager.
Requirements
- Substantial experience as a high level executive assistant
- Shorthand skills
Experience in planning for and assisting a busy executive including diary management and assistance in meeting deadlines - Office skills of a high order including office management PC skills and an excellent phone manner
- Demonstrated administrative abilities in terms of prioritizing workflow and managing correspondence records systems etc.
- High level of integrity and ability to use discretion and tact particularly with regard to handling sensitive or confidential matters
- Sound interpersonal skills; ability to liaise with people at all levels
- Welldeveloped oral and written communication skills. Excellent communication skills including the ability to demonstrate firmness of intent when necessary and convey Company policy and issues
- A commitment to performance and a flexible and adaptable approach to overcome barriers to ensure that urgent or priority work is completed on time
- Advanced skills in document design layout agenda preparation and reporting using Microsoft PowerPoint Publisher Word Excel and Access
- Personal drive and priority to complete urgent key jobs or projects without adherence to standard working hours including a demonstrated willingness to be flexible with starting and finishing times as required.
