Overview
The Administrative Assistant plays a crucial role in the efficient operation of the office environment. They are responsible for managing administrative tasks organizing office procedures and ensuring a wellmaintained and productive work environment. This role is essential in providing support to staff and contributing to the overall success of the organization.
Key responsibilities
- Manage office supplies and inventory including ordering and stocking of materials.
- Coordinate and schedule meetings appointments and travel arrangements.
- Handle incoming and outgoing correspondence including mail emails and phone calls.
- Assist in the preparation of reports presentations and data analysis.
- Maintain and update office records databases and filing systems.
- Oversee office equipment maintenance and troubleshoot any operational issues.
- Support HR functions such as new employee onboarding and maintaining employee records.
- Assist in budget tracking expense reporting and invoice processing.
- Ensure office policies and procedures are adhered to and suggest improvements.
- Collaborate with other administrative staff to ensure smooth office operations.
- Manage office space organization and ensure a clean and conducive work environment.
- Coordinate with external vendors and service providers for office maintenance and support.
- Assist in event planning and coordination for officewide activities and celebrations.
- Provide general administrative support to the management team and staff as required.
Required qualifications
- Proven experience as an office administrator office assistant or relevant administrative role.
- Proficient in using office software and applications such as Microsoft Office suite.
- Excellent organizational and multitasking abilities to prioritize tasks effectively.
- Strong communication skills both verbal and written for effective interaction with internal and external stakeholders.
- Ability to maintain confidentiality and handle sensitive information with integrity.
- Detailoriented with a high level of accuracy in performing administrative tasks.
- Knowledge of basic accounting principles and experience in handling financial tasks is an advantage.
- Proactive problemsolving skills to address daytoday office challenges.
- High school diploma or equivalent; additional qualifications in Office Administration or related field are a plus.
- Ability to work efficiently in a fastpaced environment and adapt to changing priorities.
- Familiarity with office equipment and basic troubleshooting of technical issues.
- Strong work ethic and a proactive approach to supporting the offices operational needs.
- Ability to work independently as well as part of a team to achieve common goals.
