Your Daily Impact: What You ll Do

  • Oversee all aspects of office administration while being responsive to the businesss evolving needs.
  • Answer phone calls in a polite professional manner; resolve caller inquiries and relay clear messages as needed.
  • Manage and respond to email correspondence promptly.
  • Maintain effective systems to ensure all filing and databases are kept up to date.
  • Support the service delivery process including ensuring compliance and updating systems.
  • Maintain the Excel database of Referrers (RPNs) and manage monthly email communications.
  • Monitor ACP alerts follow up with care professionals until successful logins and keep the client updated; escalate missed calls to the Office or Duty Manager when necessary.
  • Conduct spot checks on a range of service delivery processes to ensure quality.
  • Coordinate administrative tasks related to client and care professionals quality assurance programs.
  • Organize holidays for the office team.
  • Coordinate the oncall Rota effectively.
  • Manage Care Professionals retention activities including newsletters and Care Professional of the Month programs.
  • Support various projects and IT initiatives as needed.
  • Control and maintain the office technology register ensuring it meets office needs.
  • Make calls on behalf of the office team to clients.
  • Assist in preparing PowerPoint presentations and other materials when required.
  • Perform any other duties necessary for the successful operation of the business.
  • Ensure compliance with Home Instead s Equality Diversity and Equal Opportunities Policy in all aspects of employment and service delivery.

  • Proven experience in office administration within a busy office environment.
  • Strong organizational skills with the ability to multitask effectively.

  • Excellent written and verbal communication skills.
  • Keen eye for detail with the ability to work accurately under pressure.
  • Strong team player with the confidence to work independently.
  • Proficiency in English (Plus Skill).
  • Healthcarerelated skills (advantageous but not required).
