Job Description

This is a remote position.

Job Overview:
The Compliance Officer is responsible for ensuring that the organization adheres to regulatory standards and internal policies related to compliance and risk management. This role involves implementing and monitoring compliance processes managing policy documentation supporting educational and training programs and liaising with external regulatory bodies. The Compliance Officer will also contribute to continuous improvement initiatives to enhance overall organizational performance.

Job Description:
1. Compliance and Risk Management:
  • Assist in the implementation monitoring and reporting of compliance and risk management processes.
  • Conduct internal training compliance checks and participate in both internal and external audits. During audits there will be a reasonable expectation of time to work outside the normal office hours.
  • Stay updated on changes in CRICOS requirements and communicate key information to relevant stakeholders.
  • Ensure uptodate knowledge and application of the VET sector s quality framework and regulatory & be willing to learn about the state funding contract requirements for vocational training & delivery to the domestic students of the respective state.
  • Work collaboratively with various departments to implement compliance procedures and address any compliancerelated issues ensuring an active approach in minimising compliance risk.
  • Support in the development and implementation of compliance training programs for staff.
  • Monitor and respond to new legislation or changes in regulatory requirements ensuring appropriate communication and implementation across the organization.
  • Assist in the collection monitoring and reporting of data related to scheduled compliance activities.
  • Analyse compliancerelated data identify trends and provide recommendations based on data analysis to inform decisionmaking.
2. Policy Procedure and Document Management:
  • Support the development review and maintenance of policies procedures and training materials to ensure alignment with regulatory standards.
  • Individually monitor the Document Management System (Novacore) ensuring all policies procedures and documents are uptodate and compliant.
  • Maintain the continuous improvement register ensuring the version control of each document and that the rectification actions are taken as per the corrective action forms submitted by staff and trainers.
  • Ensure the implementation of procedures that support accurate and timely reporting to demonstrate ongoing training compliance as an RTO.
3. Resource and Validation Management:
  • Liaise with the Quality Assurance and Compliance Supervisor to monitor maintain and manage training resources.
  • Assist in the development and validation of Training and Assessment Strategies (TAS) program guides evidence gathering matrix simulated suitability agreements RPL s and Logbooks of varied qualifications ensuring all training resources are compliant with the NVR Standards / Regulatory Framework.
  • Participate in the validation of assessment materials and processes in coordination with trainers and other stakeholders.
  • Assist in amending and adjusting all training resources and making them fully compliant as per audit reports.
  • Gain and apply working knowledge of the Learning Management System in use to carry out internal checks and audits.
4. Educational Support and Training:
  • Assist in the design and delivery of training programs for OC staff on compliance and risk management topics.
  • Provide guidance and policy advice to staff to foster a culture of compliance and continuous improvement.
  • Assist in the creation data collection analysis and presentation of surveys on a scheduled basis.
  • Coordinate and implement change management projects including the development and delivery of staff training on new compliance processes and systems.
5. External Liaison and Reporting:
  • Assist in managing relationships with external regulatory bodies including ASQA ensuring that the organisation s compliance obligations are met.
  • Contribute to the preparation and submission of reports to regulatory bodies as required.
  • Demonstrate excellent customer service skills in interactions with internal and external stakeholders.
  • Maintain and strengthen stakeholder engagement ensuring positive and productive relationships with all external bodies and partners.
6. Continuous Improvement:
  • Contribute to the achievement of continuous improvement through adherence to the Quality Management System in all areas within the influence of the role.
  • Assist in ensuring that the stakeholder surveys were regularly analyzed to implement the required continuous improvement. Actively participate in identifying opportunities for improvement and implementing corrective actions.
  • Stay abreast of emerging trends in compliance and proactively guide the organisation in adopting best practices.
7. General Duties:
  • Professionally always promote and represent the vision and values of OC Group.
  • Collaborate effectively in both facetoface and virtual team environments.
  • Perform other duties as required by the Compliance Manager Quality Assurance & Compliance Supervisor CEO or their delegate.



Requirements

  • Strong knowledge and demonstrated understanding of VET sector regulations including the VET Quality Framework (Current and SRTO standards 2024) ELICOS Standards 2018 ESOS Act and National Code 2018.
  • Proficiency in managing Document Control Systems (e.g. Novacore) Student Management System (e.g. Wisenet) and Learning Management Systems (e.g. Moodle).
  • Demonstrated experience (2 years minimum) in a similar role preferably within an RTO environment with strong compliance and resource coordination skills.
  • Excellent organisational time management and problemsolving abilities with a high degree of accuracy and attention to detail.
  • Strong analytical skills with the ability to interpret present data and work innovatively and strategically.
  • Highlevel communication skills both written and verbal including report writing facilitation and public speaking.
  • Proactive selfstarting attitude with a growth mindset and the ability to find solutions autonomously.
  • Strong collaboration and partnering skills with the ability to gain support and cooperation from diverse stakeholders.
  • Cultural awareness and the ability to work effectively with diverse populations.
  • Ability to work independently with high initiative and as part of a dynamic team under broad direction.
  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint) and internet applications.
  • Experience in report writing and facilitating public engagements.
  • Highly collaborative approach with strong interpersonal skills to develop productive working relationships at all levels.
  • Strong administrative and compliance skills with a focus on continuous improvement.
  • Ability to work autonomously and manage multiple priorities under tight deadlines.
  • An understanding of the broader higher education sector and the current issues impacting it.
