Job Description

The PlumbingHeatingCooling Contractors Association of Texas (PHCCTX) is a prominent organization dedicated to advancing the interests of professionals in the plumbing heating and cooling industries throughout Texas. We offer our members a wide range of resources training and advocacy ensuring they remain compliant with industry regulations and standards. We are looking for a meticulous and organized Compliance Data Entry Specialist to join our team and help manage critical compliancerelated data.

Job Summary: The Compliance Data Entry Specialist will be responsible for accurately entering updating and maintaining records related to industry compliance. This includes tracking contractor certifications safety records regulatory documentation and other critical data to ensure all PHCCTX members meet the necessary legal and industry standards. The ideal candidate will have a keen eye for detail strong organizational skills and the ability to work with compliance software and databases.
Key Responsibilities:
  • Accurately enter and update compliancerelated data including contractor certifications licenses safety records and other regulatory documents into the organization s database.
  • Ensure all compliance data is current complete and accurately reflects the status of each member s regulatory requirements.
  • Regularly audit the database to identify and correct any discrepancies or outdated information.
  • Monitor expiration dates for certifications licenses and other compliancerelated documents; notify members of upcoming renewals to ensure timely updates.
  • Generate regular and adhoc reports on compliance status for internal use and for sharing with relevant stakeholders.
  • Assist in the preparation of compliancerelated reports for the executive team and board of directors.
  • Stay informed about industry regulations and standards ensuring that all compliance data reflects the most current requirements.
  • Communicate with members to obtain necessary compliance documentation answer inquiries related to compliance and provide guidance on regulatory matters.
  • Work closely with the compliance and regulatory team to ensure all members are adhering to the latest standards and regulations.
  • Organize and maintain electronic and physical records of compliancerelated documents ensuring easy access and retrieval when needed.
  • Implement best practices for document management to safeguard sensitive and confidential information.
  • Assist in the development and maintenance of a digital filing system to streamline document storage and retrieval processes.
  • Conduct quality checks on data entries to ensure accuracy and consistency across all records.
  • Identify opportunities to improve data entry processes enhance data integrity and increase efficiency in compliance tracking.
  • Collaborate with IT and other departments to optimize the use of compliance software and databases.
  • Provide support to members by answering questions related to compliance data assisting with the submission of documents and helping them understand regulatory requirements.
  • Act as a point of contact for members who need assistance with compliancerelated issues ensuring a high level of customer service.
  • Work closely with the compliance legal and regulatory teams to ensure all data entry activities align with organizational goals and regulatory standards.
  • Participate in team meetings provide input on compliance data management strategies and contribute to the overall success of the compliance department.

Qualifications:
  • Education: High school diploma or equivalent required; an associate s degree or certification in data management compliance or a related field is preferred.
  • Experience: Minimum of 2 years of experience in data entry compliance or a related field preferably within the plumbing heating cooling or construction industry.
  • Skills:
  • Strong attention to detail and accuracy in data entry.
  • Proficiency with data entry software compliance management systems and Microsoft Office Suite (especially Excel).
  • Excellent organizational and timemanagement skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Strong communication skills both written and verbal.
  • Ability to work independently and as part of a team in a fastpaced environment.
Preferred Qualifications:
  • Experience with industryspecific compliance requirements.
  • Familiarity with the plumbing heating and cooling industries.
  • Knowledge of state and federal regulatory standards related to the industry.
