Job Description

Are you an organized and detailoriented individual with a talent for providing exceptional support Our client a wellknown Wealth Management office is seeking a dynamic Administrative Professional to join our growing team. Executive Assistant Responsibilities:

  1. Calendar Management

    • Optimize and manage complex calendars for senior wealth management professionals.
    • Coordinate highlevel meetings with multiple stakeholders for availability and efficiency.
  2. Document Preparation

    • Prepare and format critical documents including:
      • Financial reports summarize client portfolio performance.
      • Client communications with updates insights and proposals.
      • Presentations for client meetings or internal discussions.
  3. Office Operations Oversight

    • Manage daily operations to ensure a smooth workflow.
    • Promote a professional environment that enhances productivity and client engagement.
  4. Confidential Information Handling

    • Protect confidential client information in line with industry regulations.
    • Implement secure data management systems.
  5. Client Event Coordination

    • Plan and execute client events seminars and conferences to strengthen relationships.
    • Handle logistics invitations and followup.
  6. Financial Support

    • Provide financial assistance by:
      • Accurately tracking team expenses.
      • Processing invoices promptly.
      • Managing client billing clearly.
  7. Client Relationship Management Enhancement

    • Support data management for client relationship management (CRM) systems.
    • Analyze client data to enhance relationships.
  8. Reporting and Analysis

    • Generate insightful client reports to guide decisionmaking and strategy.
    • Analyze performance metrics for actionable insights for professionals and clients.

Key Skills and Qualifications

  • Strong organizational and time management skills.
  • Proficiency in document preparation tools (e.g. Microsoft Office Suite).
  • Understanding of financial reporting and wealth management principles.
  • Excellent written and verbal communication skills.
