Key Responsibilities:
- Administrative Support: Provide daytoday administrative assistance to the management team including managing calendars scheduling meetings and organizing travel arrangements.
- Communication Management: Handle email and phone communications respond to inquiries on behalf of the management team and ensure timely followup on outstanding tasks.
- Document Preparation: Prepare and edit documents reports presentations and correspondence as needed.
- Meeting Coordination: Schedule coordinate and prepare agendas for meetings. Take detailed meeting minutes and distribute them to relevant stakeholders.
- Task Management: Assist in tracking and managing tasks for the management team to meet deadlines.
- Data Entry: Maintain accurate records and data entry into various systems and databases ensuring data integrity and confidentiality.
- Professionalism: Serve as a liaison between the management team and internal/external stakeholders maintaining high professionalism and discretion.
- Ad Hoc Tasks: Provide additional support on various projects and tasks as needed by the management team including research event planning and other duties as assigned.
Requirements & Qualifications:
- Experience: Proven experience as an Executive Assistant for at least 2 years preferably supporting senior management or executives.
- Experience: Previous experience in a fastpaced work environment.
- Skills: Strong organizational and multitasking skills with high attention to detail.
- Quick Thinker: Ability to think on your feet and solve problems efficiently.
- Communication: Excellent written and verbal communication skills with the ability to interact professionally with all levels of staff and clients.
- Proficiency: Advanced proficiency in Microsoft Office (Word Excel PowerPoint Outlook) and other relevant software.
- Professionalism: Demonstrated ability to handle sensitive information with discretion and maintain confidentiality.
- Time Management: Strong time management skills with the ability to prioritize tasks and manage competing priorities effectively.
- Work Schedule: Amenable to work Monday through Friday 8 AM to 5 PM Pacific Standard Time (11 PM to 8 AM Philippine Time).
Preferred Qualifications:
- Education: Bachelors degree in Business Administration or a related field.
- Tools: Familiarity with project management tools and software is an advantage.
