Job Description

Job Title: Purchase Executive

Department: Procurement

Reports To: Procurement Manager

Job Summary: The Purchase Executive is responsible for managing the procurement process for goods and services required by the organization. This includes sourcing suppliers negotiating contracts managing supplier relationships and ensuring timely delivery of highquality materials at competitive prices.

Key Responsibilities:

  • Supplier Sourcing and Evaluation:
  • Identify and evaluate potential suppliers based on price quality and delivery capabilities.
  • Conduct market research to stay updated on industry trends and supplier developments.
  • Maintain a database of approved suppliers and regularly review their performance.
  • Procurement Process Management:
  • Prepare and process purchase orders in accordance with company policies and procedures.
  • Ensure timely and accurate delivery of materials and services.
  • Monitor inventory levels and coordinate with the warehouse team to manage stock levels.
  • Negotiation and Contract Management:
  • Negotiate terms and conditions with suppliers to secure the best deals.
  • Draft and review contracts to ensure compliance with company policies and legal requirements.
  • Manage contract renewals and amendments as necessary.
  • Cost Control and Budget Management:
  • Monitor procurement expenditures and ensure adherence to budgetary constraints.
  • Implement costsaving measures and identify opportunities for cost reduction.
  • Vendor Relationship Management:
  • Build and maintain strong relationships with suppliers and vendors.
  • Address and resolve any issues or disputes with suppliers promptly.
  • Conduct regular supplier performance reviews and provide feedback for improvement.
  • Compliance and Documentation:
  • Ensure compliance with all relevant regulations and company policies.
  • Maintain accurate and uptodate procurement records and documentation.
  • Prepare regular reports on procurement activities and performance metrics.
  • Collaboration and Coordination:
  • Collaborate with internal departments (e.g. production finance and quality assurance) to understand procurement needs and requirements.
  • Coordinate with logistics and warehouse teams to ensure efficient handling of incoming materials.

Qualifications:

  • Bachelors degree in Business Administration Supply Chain Management or a related field.
  • Proven experience as a Purchase Executive or in a similar procurement role.
  • Strong negotiation and communication skills.
  • Excellent organizational and time management abilities.
  • Proficiency in procurement software and Microsoft Office Suite.
  • Knowledge of supply chain management and procurement best practices.
  • Attention to detail and strong analytical skills.

Preferred Qualifications:

  • Professional certification in procurement or supply chain management (e.g. CPSM CIPS).
  • Experience in FMCG industry

Working Conditions:

  • Office environment with occasional travel to supplier sites and industry events.
  • Fulltime position with regular business hours.

Job Types: Fulltime Permanent

Pay: RO425.000 RO450.000 per month
