Job Description

Job Title: Administrative Assistant

Department: Administrative
Location: Halifax NS

Job Summary:

We are seeking a highly organized and detailoriented Administrative Assistant to join our team. The successful candidate will be responsible for providing administrative support to ensure efficient operation of the office. This role involves handling a wide range of administrative and executive support tasks and working independently with little or no supervision. The Administrative Assistant will interact with staff at all levels in a fastpaced environment sometimes under pressure remaining flexible proactive resourceful and efficient with a high level of professionalism and confidentiality.

Key Responsibilities:

  • General Administrative Support:

    • Manage and maintain executive schedules including scheduling travel and conferences making appointments and ensuring meeting arrangements.
    • Prepare reports presentations and data as well as maintain files records and correspondence for meetings.
    • Answer and direct phone calls and manage incoming and outgoing mail.
    • Greet visitors and determine whether they should be given access to specific individuals.
    • Perform general office duties such as ordering supplies maintaining records management systems and performing basic bookkeeping work.
  • Communication:

    • Prepare and edit correspondence communications presentations and other documents.
    • Coordinate and communicate with various departments within the company.
    • Handle sensitive information in a confidential manner.
  • Event Coordination:

    • Plan and coordinate meetings conferences and events including arranging logistics catering and preparing materials.
    • Take detailed minutes during meetings and distribute them to relevant parties.
  • Project Management:

    • Assist in the preparation of regularly scheduled reports.
    • Develop and maintain a filing system.
    • Coordinate projects and take on tasks as needed to ensure team success.

Qualifications:

  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problemsolving skills.
  • Strong organizational skills with the ability to multitask.
  • Excellent written and verbal communication skills.
