Job Description

This is a remote position.

Virtual Rockstar is looking for a dedicated and detailoriented Executive Assistant/ Bookkeeper to support our client s administrative and financial operations.

We are seeking a parttime Executive Assistant/ Bookkeeper to manage essential bookkeeping tasks and assist with various administrative responsibilities. The ideal candidate will be a proactive and organized individual who can work independently and effectively in a virtual setting.

Responsibilities:

  • Bookkeeping & Financial Management:

    • Maintain and update a current expense breakdown of clinic expenditures by analyzing credit card statements.

    • Manage and reconcile QuickBooks accounts to ensure accuracy and completeness.

    • Handle the breakdown of cost centers for each clinic and assist with payroll processing using Ataraxis.

    • Prepare financial reports and assist in budget preparation and expense management.

    • Reconcile bank statements and financial records to ensure all transactions are accounted for.

  • Administrative Support:

    • Manage and organize statistics in our monthly system for reporting and analysis.

    • Read and review resumes book interviews and manage online posting of job openings.

    • Assist with general administrative tasks as needed.



Requirements

  • Proven experience in bookkeeping and administrative support roles.

  • Proficiency in QuickBooks and other financial software.

  • Strong understanding of financial reporting expense management and payroll processing.

  • Excellent organizational skills and attention to detail.

  • Ability to work independently and manage multiple tasks effectively.

  • Strong communication skills both written and verbal.

  • Experience with resume screening and interview scheduling is a plus.

  • Familiarity with Ataraxis or similar payroll systems is a plus.
