Job Description

Job Title: Receptionist

Location: Miami FL

Department: Office

Position Overview:

We are seeking a highly organized and friendly Receptionist to join our team. The ideal candidate will be the first point of contact for our visitors and clients providing a warm welcome and ensuring smooth daytoday operations of the front desk. This role requires excellent communication skills a professional demeanor and the ability to multitask effectively in a fastpaced environment.

Key Responsibilities:

  • Front Desk Management:

    • Greet and welcome visitors with a positive attitude and provide assistance as needed.
    • Answer screen and forward incoming phone calls while providing basic information when needed.
    • Maintain the reception area keeping it clean and presentable.
  • Administrative Support:

    • Manage incoming and outgoing mail packages and deliveries.
    • Coordinate appointments and meetings including booking conference rooms and preparing necessary materials.
    • Assist with administrative tasks such as filing photocopying and data entry.
  • Customer Service:

    • Respond to inquiries from clients employees and the public.
    • Provide accurate information and assistance in a professional manner.
    • Handle customer complaints or concerns with patience and empathy escalating issues as necessary.
  • Office Coordination:

    • Order and maintain office supplies and equipment.
    • Ensure office security by following safety procedures and controlling access via the reception desk.
    • Assist with onboarding new employees by preparing welcome materials and organizing orientation sessions.

Qualifications:

  • High school diploma or equivalent required; associate's or bachelor's degree preferred.

  • Excellent verbal and written communication skills.

  • Proficiency in Microsoft Office Suite (Word Excel Outlook).

  • Strong organizational and multitasking abilities.

  • Ability to be resourceful and proactive when issues arise.
